Verifying webinar leads
A webinar registration form is a gate in front of a replay or a slide deck, so some people type a throwaway or half-real address just to get through. Verify registrants as they sign up, send the joining link only to deliverable addresses, and pass only valid business addresses to sales for follow-up.
Webinar data is two lists in one: people who wanted the content and people who might want to buy. Verification, plus whether the address is a business or personal one, is how you tell the two apart.
What webinar forms collect
Throwaway addresses to get the recording
Registrants who only want the replay often use a disposable inbox. Those come back invalid with the reason Disposable address; check a domain with the disposable email checker.
Personal addresses in a B2B funnel
A Gmail registrant may be a buyer using a personal inbox or a student. Neither belongs in the sales queue on day one. Business vs personal email explains how to tell them apart.
Team inboxes register for everyone
marketing@ or training@ signs up on behalf of a team. It comes back risky as a role-based address and reaches someone, but not a named lead.
Registrants and attendees are different lists
Many registrants don't attend. The follow-up for each is different, and so is the cost of a bounce: an attendee follow-up from sales is personal and visible.
From registration to sales hand-off
Verify on registration
Call the API when the form is submitted, or use a Zapier step if the form is hosted elsewhere. Ask for a different address if it is invalid.
Send the joining link only to deliverable addresses
Valid and risky registrants get the link. Invalid ones get an on-page message to retype.
After the session, export registrants with attendance
From your webinar platform, a Typeform or Google Forms export, or HubSpot. Verify again: some addresses accepted at sign-up fail later.
Route by result and address type
Valid business address and attended: sales. Valid personal address: nurture. No-show: replay email.
Routing webinar leads
| Result | What to do | Why |
|---|---|---|
| valid · business domain, attended | Hand to sales | Confirmed, identifiable, interested. |
| valid · personal domain | Nurture | Real person, unclear buying role. |
| risky · Accepts all addresses | Nurture, sales only if they attended | Corporate catch-all; probably real but unconfirmed. |
| risky · Role-based address | Replay and content only | A team inbox, not a lead. |
| invalid | Drop | No joining link can reach it. |
Common questions
- Should I block personal email addresses on a webinar form?
- Usually not. Blocking them loses genuine buyers who prefer a personal inbox. Accept them and route them to nurture rather than sales.
- When should webinar registrants be verified?
- On registration, so the joining link reaches them, and again before sales follow-up, since the list is used days or weeks later.
- Can verification tell me if a registrant is a real buyer?
- No. It tells you whether the mailbox exists and whether it is disposable or a shared inbox. Buying intent comes from attendance, questions and your own qualification.
