Verifying trade show and conference leads
Conference leads arrive as badge-scan exports, business-card photos and booth sign-ups, and all three lose characters on the way. Verify the file before the post-show sequence, expect a high share of risky results because attendees give work addresses on corporate mail systems, and treat any third-party 'attendee list' as a purchased list.
Exhibitors have a short window after a show when follow-up feels natural. A clean list means the follow-up arrives while the conversation is still remembered. If you organised the event, see event registrations instead.
Where booth data goes wrong
Business-card capture misreads characters
Photo and OCR capture confuses l and 1, rn and m, and drops hyphens. One wrong character and the address is invalid.
Badge scans carry whatever was registered
The address on the badge is the one the attendee gave the organiser, sometimes a personal inbox, sometimes a colleague's or an assistant's.
Corporate mail systems hide the answer
Attendees mostly give work addresses, and in our Email List Health Report 2026 60.3% of domains behind a security gateway and 69.9% of Proofpoint-protected domains were catch-all. Expect many risky results; it reflects the companies, not your booth staff.
Offers to sell you the attendee list
A list of everyone at the show, sold by a third party, is a purchased list: no one on it agreed to hear from you. See purchased lists.
From booth to follow-up
Export lead retrieval and card scans together
Merge the badge-scan export, card captures and any booth form into one CSV with a source column. Google Sheets works for the merge.
De-duplicate, then verify
People get scanned twice. Remove duplicates on email, then upload.
Recover invalid rows with the finder
You have a name and a company from the badge. The email finder or the permutator finds the address the company's server confirms.
Send one-to-one, not a blast
Load valid addresses into HubSpot or Salesforce and have the rep who met each person send the follow-up from their own inbox.
Post-show follow-up by result
| Result | What to do | Why |
|---|---|---|
| valid | Follow up from the rep who met them | Confirmed mailbox. |
| risky · Accepts all addresses | One-to-one follow-up only | There was a real conversation, which justifies a careful personal send, not a bulk sequence. |
| risky · Role-based address | Find the named person | Probably a registration shortcut. |
| invalid | Run the finder | Usually a capture error, recoverable from name and company. |
Common questions
- Why are so many of my trade show leads risky?
- Attendees give work addresses, and many company domains, especially those behind a security gateway, accept every recipient during the check. That makes the result risky rather than valid.
- Should I buy the attendee list a vendor is offering?
- We wouldn't. Nobody on it opted in to hear from you, and verification cannot detect spam traps. See the purchased lists page for why.
- Can I find correct addresses for badge scans that failed?
- Usually. You have the name and company from the badge, which is what the email finder needs.
