Copper CRM contacts to email list: Work Email first, Do Not Email set aside

In short: Reads a Copper People export (.xlsx or CSV): Work Email as the address, Personal and Other Email optional, a custom Do Not Email, opt-out or unsubscribed column read only as an opt-out, an email status of bounced set aside; repeats merged. Limit: Copper's help doesn't list the export's column headings; Work Email and the other columns are found by name from an inferred list, so check the notes above the result.

In Copper, open the People list view, tick the box in the upper left, open the three-dot menu and click Export List, choose which records to export and click Export. For everyone, go to Workspace Settings > Export Data and click Export People. Copper emails you an Excel file. Upload it here: Work Email becomes the address, a Do Not Email or opt-out column your team added sets those contacts aside, and repeats merge. Check what's left live before you send.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I check the send list before the campaign?

  1. Download the send list here.
  2. Upload it at /verify. Every address gets a live mailbox check, and valid, risky and invalid download as separate files; catch-all domains are marked. The first 100 email checks are free with a Google sign-in, no card.
  3. Send to the valid file, and keep the set-aside file as a suppression list.
Check the addresses

How do I turn a Copper People export into a clean email list?

  1. In Copper, open the People list view and filter it if you only want part of the list.
  2. Tick the box in the upper left to select the records, open the three-dot menu and click Export List. Choose selected records, all records or all records matching the filter, and click Export. (Users other than admins need the Data Export permission.)
  3. For a full export instead, click Profile, open Workspace Settings > Export Data and click Export People.
  4. Open the Excel file from the email Copper sends and upload it here, or paste it.

Example

You enter
A Copper People export with 6 rows: Work Email and Personal Email columns, a custom Do Not Email column set to Yes on Leo, an info@ address, a gmial.com typo and one person with no email.
You get
4 contacts to send (info@ flagged as a role address, the typo flagged), Leo set aside as opted out, and 1 person counted as having no email. Ticking the other-emails option adds Ana's Gmail as a row.
Limits
Runs in your browser with no row cap; an uploaded file can be up to 25 MB.

Where are Copper's unsubscribes?

Copper's help says its automated emails don't include an unsubscribe link and that it doesn't support marketing emails, so People records have no built-in unsubscribe field. If your team added a custom field such as Do Not Email, Opted out or Unsubscribed, a yes, true or unsubscribed value sets the contact aside. A blank or no leaves the contact in the list; it is never read as a subscribe.

If the file has no such column, the notes say so. Before a marketing send, check that each contact agreed to hear from you.

Why do dead addresses stay on Copper records?

Copper doesn't retry hard bounces from its email automation, and its help asks you to remove the address from the contact yourself. Old addresses therefore stay on People records until someone takes them off, which is why a mailbox check matters before a campaign.

Who uses this tool, and for what?

Sales teams
Pull the Work Emails out of Copper for a campaign in a dedicated email tool.
Agencies
Clean a client's Copper People export before importing it into their email platform.
Founders
Get one email column out of Copper with Do Not Email contacts left out.

What can’t this tool tell you?

  • Copper's help doesn't list the export's column headings; Work Email and the other columns are found by name from an inferred list, so check the notes above the result.
  • Copper has no built-in unsubscribe or bounce field, so opt-outs are read only from a custom column your team added.
  • It can't tell which addresses have a working inbox today; that needs a live mailbox check.

Common questions

Which Copper columns does it read?
Work Email (and Personal or Other Email if you tick the option), First Name, Last Name, Company and Tags, plus a Do Not Email, opt-out, unsubscribed or email status column when the file has one. The notes above the result say which were found.
Can I upload the Excel file Copper emails?
Yes. The .xlsx works as it is; the first sheet is read. CSV works too.
Is my contact list uploaded?
No. The file is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
