HubSpot contacts to email list: unsubscribes, hard bounces and quarantined addresses set aside

In short: Reads a HubSpot contacts CSV or .xlsx: Unsubscribed from all email and Opted out of email columns set aside, Email hard bounce reason, Invalid email address and Email address quarantined set aside, additional emails optional, repeats merged. Limit: HubSpot doesn't publish the column order of an export; the columns are found by their property names, so check the notes above the result.

In HubSpot, go to CRM > Contacts, open All contacts, click Export and pick all properties under Customize, so the unsubscribe and bounce properties come with the file. HubSpot emails a download link. Upload the file here: contacts unsubscribed from all email are always set aside, hard bounces, invalid and quarantined addresses are set aside too, and repeats merge. Check what's left live before you send.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I check the send list before the next campaign?

  1. Download the send list here.
  2. Upload it at /verify. Every address gets a live mailbox check, and valid, risky and invalid download as separate files; catch-all domains are marked. The first 100 email checks are free with a Google sign-in, no card.
  3. Send to the valid file, and keep the set-aside file as a suppression list.
Check the addresses

How do I turn a HubSpot export into a clean email list?

  1. In HubSpot, go to CRM > Contacts and open the All contacts view (or the view you want).
  2. Click Export at the top right of the table. Pick CSV, XLS or XLSX, and English as the language of column headers.
  3. Click Customize and choose all properties, or add Unsubscribed from all email and Email hard bounce reason to the view first. Click Export and download the file from the email HubSpot sends.
  4. Upload the file here (unzip it first if HubSpot zipped it). Download the send list and the set-aside file, and check the send list live before the campaign.

Example

You enter
A HubSpot contacts export with 7 rows: Unsubscribed from all email true on Leo, an Email hard bounce reason on Mia, Invalid email address true on Kim, Email address quarantined true on Sam, an info@ address and one contact with no email.
You get
2 contacts to send (info@ flagged as a role address), Leo set aside as opted out, Mia, Kim and Sam set aside as bounced or invalid, and 1 contact counted as having no email.
Limits
Runs in your browser with no row cap; an uploaded file can be up to 25 MB.

Does a HubSpot export leave out unsubscribed contacts?

No. HubSpot's own help says exporting all your contacts includes unsubscribes, and suggests a filter of Unsubscribed from all email is not equal to True. This tool does the same after the fact: a contact whose Unsubscribed from all email (or an Opted out of email: type column) is true is always set aside, with the column named in the reason.

A blank or false is not read as consent. Whether you may email someone is still your call under your own consent records.

Which bounce properties are read?

Email hard bounce reason holds the last reason an email to the contact hard bounced; any value sets the contact aside. Invalid email address and Email address quarantined are yes/no properties; true sets the contact aside. You can untick the bounce option to keep them in the send list.

By default HubSpot only exports the properties in the current view, so if these columns are missing, choose all properties under Customize and export again.

Who uses this tool, and for what?

Sales teams
Pull a send list for a sequence tool outside HubSpot with unsubscribes honoured.
Agencies
Clean a client's HubSpot contacts before moving them to another sending tool.
Marketers
Drop hard bounces and quarantined addresses before re-importing a list.

What can’t this tool tell you?

  • HubSpot doesn't publish the column order of an export; the columns are found by their property names, so check the notes above the result.
  • Marketing contact status (marketing or non-marketing) is a HubSpot billing setting, not consent, so it isn't used to set anyone aside.
  • It can't tell which addresses have a working inbox today; that needs a live mailbox check.

Common questions

Which HubSpot columns does it read?
Email (and Additional email addresses if you tick the option), Unsubscribed from all email, any Opted out of email: column, Email hard bounce reason, Invalid email address, Email address quarantined, First Name, Last Name, Company Name and Phone Number. The notes above the result say which were found.
My export has headings in another language. Will it work?
Export again with English chosen as the language of column headers. The tool finds columns by their English property names.
Is my contact list uploaded?
No. The file is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
