HubSpot email verification: check a contacts export before it bounces

HubSpot doesn't verify email addresses before you send; it stops emailing a contact after it hard bounces. To catch bad addresses first, export the contacts and drop the file here. The checker flags bad syntax, duplicates, typo, dead and disposable domains, removes anyone on a bounced or unsubscribed export you paste in, and checks 10 mailboxes live.

Runs in your browser. Only the domains are sent, to look up their mail servers; addresses stay on your device.

Paste a bounced or opted-out contacts export. Matching rows come off the clean list.

How do I verify HubSpot contacts' email addresses?

  1. In HubSpot, open Contacts, filter the view you want to check (for example, contacts created in the last 90 days that haven't been emailed), and export it as CSV or .xlsx.
  2. Drop the file in. The Email column is found automatically; Record ID and every other column are kept.
  3. Optional: paste a bounced or unsubscribed contacts export into the remove box so those rows come off the clean file.
  4. Press Check the contacts and download the clean list and the flagged rows (with Record IDs, ready for a re-import or a static list).
  5. The first 10 addresses get a live mailbox check. Sign in with Google to check the rest with 100 free email checks.

Does HubSpot verify email addresses?

Not before the first send. HubSpot's bounce types article says that unless an address has globally bounced, "HubSpot will not automatically drop emails sent to an invalid email address that hasn't previously bounced in your account." A global bounce is an address that hard bounced in three or more HubSpot accounts.

So every invalid address in a new import or form fill costs one bounce before HubSpot knows about it. After that, HubSpot drops the contact from future marketing email. Checking new contacts in bulk before they're enrolled in anything removes most of those first bounces; verifying contacts before enrolling them in sequences covers the sales side.

How do I clean up contacts in HubSpot?

Split the job by bounce reason, not by bounce. Unknown-user bounces are dead addresses; content, spam and policy bounces often hit real people whose filter blocked the message, so deleting those throws away good contacts. HubSpot's guide to deleting unsubscribed or hard-bounced contacts shows how to build those views.

For contacts you keep but won't market to, HubSpot lets you set them as non-marketing, so they stop counting toward your marketing contact tier. The flagged-rows download here, with Record IDs, is a ready list to import as a static list for that step. The full routine is in how to clean HubSpot contacts.

Why did my HubSpot email bounce if the address looks right?

A well-formed address can belong to a mailbox that closed, a domain that stopped receiving mail, or a company that moved providers and didn't recreate every user. The first two are caught here before any send: the domain check finds domains with no mail server, and the mailbox check asks the server about the address itself.

If the bounce text mentions policy, spam or a block, the problem is the sending, not the address; paste the message into the bounce message analyzer to see which.

Who uses this tool, and for what?

Marketing ops
Check contacts from a list purchase, event import or CRM migration before they're added to any workflow.
Sales teams
Verify prospects before enrolling them in HubSpot sequences, where bounces come from your own inbox, not HubSpot's servers.
RevOps
Find dead and disposable addresses among marketing contacts, then set them as non-marketing to stop paying for them.

What can’t this tool tell you?

  • This reads exported files; it doesn't connect to HubSpot or change contact properties.
  • HubSpot's own bounce history (pending, hard, global bounces) isn't in a default export; paste a bounced view's export into the remove box to use it.
  • The browser check covers the first 5,000 rows; the free checks on your dashboard take the whole file.
  • Catch-all domains can't be confirmed by a mailbox check, and Microsoft or Apple consumer addresses aren't probed by our checker; those come back risky.

Common questions

Does HubSpot have email verification?
Not before sending. HubSpot drops contacts from marketing email after they hard bounce, and drops globally bounced addresses (hard bounced in three or more HubSpot accounts), but it doesn't check a new address's mailbox before the first send.
Is there a HubSpot email validation tool?
HubSpot validates the format of an address in forms. To check whether mailboxes exist, export the contacts and run them through an email verifier, then import the results back as a property or a static list.
How to clean up HubSpot contacts?
Separate unknown-user bounces (dead, remove them) from policy or spam bounces (often real people), remove or set as non-marketing the dead ones, and verify new imports before they're emailed.
Why does HubSpot say email validation failed?
That message usually comes from a form rejecting an address that isn't well formed or is on a blocked domain list in the form's settings. Check the address for typos, then check the form's email validation settings.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
