Apollo contacts to email list: bounced and role addresses set aside, Email status kept

In short: Reads an Apollo contacts CSV: Email first, Secondary and Tertiary email when asked; Email status read as verified, risky (Unverified, Catch-all, User-managed, Update required) or invalid; a TRUE in Email bounced sets the address aside; repeats merged, role addresses set aside. Limit: Apollo's help names the export fields, but a field left out of your export settings comes through blank; if Email status or Email bounced are empty, export again with them ticked.

In Apollo, go to Search > People, filter to the contacts, saved search or list, select them and click Export. Choose all emails or only verified emails, click Edit export CSV settings to include Email status and Email bounced, then Export records and download the CSV from Settings > Data management > Import & Exports > CSV Exports. Upload it here: rows Apollo says already bounced and role addresses are set aside, repeats merge, and Apollo's status stays next to each lead. Check what's left live before the sequence starts.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I check the Apollo leads before the sequence starts?

  1. Download the clean list here.
  2. Upload it at /verify. Every address gets a live mailbox check, and valid, risky and invalid download as separate files; catch-all domains are marked. The first 100 email checks are free with a Google sign-in, no card.
  3. Load only the valid file into your sequencer. Keep risky and catch-all leads in a separate, slower campaign or drop them.

How do I turn an Apollo export into a clean email list?

  1. In Apollo, click Search > People and filter to saved contacts, a saved search or a list. Exporting saved contacts doesn't use credits; net-new people with a verified email use 1 credit each.
  2. Check the contacts (or use bulk selection), click Export and choose whether to export emails for all selected contacts or only those with verified emails.
  3. Click Edit export CSV settings and include Email, Email status and Email bounced (and Secondary email if you want it). A field left out of the settings exports as a blank column.
  4. Click Export records, then download the file from Settings > Data management > Import & Exports > CSV Exports. Upload it here, or paste it.

Example

You enter
An Apollo contacts export with 7 rows: Email status Verified, Unverified, Catch-all, User-managed and Unavailable, Email bounced TRUE on Leo, Ana twice (once in capitals), an info@ address and one contact with no email.
You get
3 leads in the list (Kim and Raj marked risky for Catch-all and User-managed), Leo set aside as bounced, the info@ address set aside as a role address, and 1 row counted as having no email. Ticking the other-emails option adds Ana's Secondary email as a row.
Limits
Runs in your browser with no row cap; an uploaded file can be up to 25 MB.

How is each Apollo email status read?

Verified is kept. Unverified, Catch-all, User-managed, Update required and Unavailable are kept but marked risky in the vendor_check column; tick the option to set them aside. Apollo's help says Unverified means it couldn't verify the address or has low confidence in it, User-managed means your team uploaded or edited it, Update required usually means the person changed jobs, and Catch-all means the domain accepts mail for any address.

Email bounced is TRUE when an email sent to the contact bounced, so those rows are set aside as invalid whatever the status says. Only the main Email column carries Apollo's status; Secondary and Tertiary addresses come through unchecked.

Why flag an email on a different domain?

When the email's domain doesn't match the Website column in the same row, the address is often at a parent company, an old domain after a rebrand, or a pattern guess. Those are worth checking first. Personal webmail is flagged separately, and is the first thing to drop from a B2B list.

Who uses this tool, and for what?

SDR teams
Strip bounced rows, role addresses and repeats from an Apollo export before it goes into another sequencer.
Cold email agencies
Clean a client's Apollo list and send only the live-checked part to Instantly or Smartlead.
Founders
Turn an Apollo saved list into a plain email column with the status kept for a first outbound test.

What can’t this tool tell you?

  • Apollo's help names the export fields, but a field left out of your export settings comes through blank; if Email status or Email bounced are empty, export again with them ticked.
  • Apollo's help doesn't list every value its Email status column can hold; values it doesn't name are kept as written and read as unchecked.
  • It can't tell which addresses have a working inbox today, or which domains accept every address; that needs a live mailbox check.
  • A lead database list is cold: nobody on it asked to hear from you. The tool doesn't make it compliant; follow the rules where your recipients are.

Common questions

Which Apollo columns does it read?
Email, Email status, Email bounced, Secondary email and Tertiary email (when you tick the option), First name, Last name, Title, Company name, Website and Person linkedin url, all named in Apollo's list of contact export fields. Other columns are recognised but not copied. The notes above the result say which were found.
Isn't Apollo's Verified status enough?
It's Apollo's result from its last check; Primary email last verified at says when that was. People change jobs between checks, so a live mailbox check before the send is still worth it for older rows and anything not Verified.
Is my lead list uploaded?
No. The file is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

Sources

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
