Whova attendees to email list: check-ins, speakers and repeats sorted
In short: Reads a Whova attendee list (.xlsx or CSV), merges people with several tickets, reads check-in, marks speakers, exhibitors and sponsors from the ticket or category, sets aside opt-outs and keeps affiliation and title. Limit: Whova doesn't publish its export column names; Email, Affiliation, Ticket and Checked In are found by name from an inferred list, so check the notes above the result.
Export the attendee list from Whova (Attendees > Manage Attendees > Export Attendees) and upload it here. People with several tickets merge into one row, check-ins are read, speakers, exhibitors and sponsors are marked from the ticket or category, and an opt-out column is honoured. Download the list for your post-event follow-up.
Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I check the Whova list before the follow-up email?
- Download the attendee list here.
- Upload it at /verify. Every address gets a live mailbox check, and valid, risky and invalid download as separate files. The first 100 email checks are free with a Google sign-in, no card.
- Send the follow-up to the valid file, and fix or drop the invalid ones.
How do I turn a Whova attendee export into an email list?
- In Whova, open Attendees > Manage Attendees, click Export Attendees and choose the basic attendee list (or Attendees > Analytics & Exports for check-ins and ticket types).
- Upload the .xlsx here, or paste it.
- Choose: set aside speakers, exhibitors and sponsors, or keep only people who checked in.
- Download the attendee list and the set-aside file.
Example
- You enter
- A Whova attendee export with 6 rows: Ana twice (two tickets, once in capitals), a Speaker ticket, an Exhibitor ticket, and a
Checked Incolumn with 4 yes. - You get
- 5 attendees, Ana merged with both tickets, 3 checked in, the speaker and exhibitor marked. Ticking keep-only-checked-in moves the 2 who didn't come to the set-aside file.
- Limits
- Runs in your browser with no row cap; an uploaded file can be up to 25 MB.
Which Whova export should I use?
Whova's help lists a basic attendee list (Attendees > Manage Attendees > Export Attendees), a custom export with check-in and session data (Attendees > Analytics & Exports), and registration responses from Tickets > Orders & Transaction for events using Whova Registration. Any of them works here as long as it has an email column; the custom export is the one with check-ins.
Can I email everyone who registered?
A registration covers email about that event: the replay, slides, a survey. For future events or a newsletter, check what the registration form asked. If the export has an opt-out column, a yes there sets the person aside.
Who uses this tool, and for what?
- Conference organizers
- Send the replay and survey only to people who came, with speakers handled separately.
- Associations
- Move a Whova attendee list into the member email tool without duplicate rows.
- Sponsors with list access
- Clean the shared attendee list before a follow-up, within what the attendees agreed to.
What can’t this tool tell you?
- Whova doesn't publish its export column names; Email, Affiliation, Ticket and Checked In are found by name from an inferred list, so check the notes above the result.
- Without a check-in column, attendance can't be read.
- It can't tell which addresses still have a working inbox.
Common questions
- How are speakers and exhibitors found?
- From a ticket, category, attendee type or role column whose value says speaker, exhibitor, sponsor, staff, volunteer, press and similar. They are kept unless you tick the option to set them aside.
- Is my attendee list uploaded?
- No. The file is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.
Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.
- Upload the cleaned file as it is: CSVs up to 100,000 rows
- A real SMTP mailbox check on every row, with catch-all detection
