Cvent attendees to email list: invitee status read, cancellations set aside

In short: Reads a Cvent Invitee Details report or attendee list export, sorts invitee status (accepted, waitlisted or pending, no response or visited, cancelled, declined or denied), reads check-in and registration type, honours an opted-out column and merges repeats. Limit: Cvent reports are configurable and the column names vary; Email Address, Invitee Status, Registration Type, Checked In and Opted Out are found by name from an inferred list, so check the notes above the result.

Run Cvent's Invitee Details report (or export the attendee list) as Excel or CSV and upload it here. Accepted registrants are kept, pending and waitlisted are kept and marked, invitees who never responded and cancelled or declined registrations are set aside, an opted-out column is honoured, and speakers or exhibitors are marked from the registration type.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I check the Cvent list before the next invite?

  1. Download the attendee list here.
  2. Upload it at /verify. Every address gets a live mailbox check, and valid, risky and invalid download as separate files. The first 100 email checks are free with a Google sign-in, no card.
  3. Send to the valid file, and add the invalid ones and the opt-outs to your suppression list.

How do I turn a Cvent attendee or invitee report into an email list?

  1. In Cvent, open Reports > Reports, choose Invitee Details (Attendee category), filter by invitee status if you like and run it as Excel or CSV. Or select registrants on the Attendee List and choose Bulk Actions > Export.
  2. Upload the file here, or paste it. Report title lines above the header are skipped.
  3. Choose what to set aside: cancelled and declined, no-response invitees (both on to start), speakers and exhibitors, people who didn't check in.
  4. Download the attendee list and the set-aside file.

Example

You enter
A Cvent Invitee Details report with two title lines and 6 invitees: 3 Accepted (one with Opted Out yes), 1 Cancelled, 1 No Response and 1 Waitlisted.
You get
3 in the list (2 accepted who checked in, 1 waitlisted marked waiting), 3 set aside: the cancellation, the invitee who never responded, and the accepted person who opted out.
Limits
Runs in your browser with no row cap; an uploaded file can be up to 25 MB.

What do Cvent's invitee statuses mean here?

Cvent's Invitee Details report covers accepted, cancelled, declined, denied, no response, pending approval, visited and waitlisted invitees. Accepted counts as registered. Pending approval and waitlisted are kept and marked. No response and visited (opened the site but didn't register) are invitees who never signed up; they are set aside to start. Cancelled, declined and denied are set aside too.

Why clean an invitation list?

Invitation lists are often last year's attendees plus sales contacts, and people change jobs in between. Mailing closed inboxes bounces, and bounces hurt the domain your invites come from. CSV exports from Cvent show times in GMT; export as Excel for local time.

Who uses this tool, and for what?

Event marketers
Build next year's invitation list from accepted and checked-in people, without cancellations.
Field marketing
Pull a clean follow-up list for sales after a Cvent-run summit.
Agencies
Hand a client a deduplicated attendee list with reasons for every row set aside.

What can’t this tool tell you?

  • Cvent reports are configurable and the column names vary; Email Address, Invitee Status, Registration Type, Checked In and Opted Out are found by name from an inferred list, so check the notes above the result.
  • Without a check-in column, attendance can't be read.
  • It can't tell which addresses still have a working inbox.

Common questions

Does it read the opted-out column?
Yes, as an opt-out: a yes there sets the person aside whatever their status. A blank or no is not read as consent; a registration covers email about that event.
Is my attendee list uploaded?
No. The file is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
