Calendly invitees to email list: one row per person, guests added, cancellations split out
In short: Reads a Calendly meetings export (or Cal.com and Acuity bookings), one row per booking, and gives one row per invitee with bookings, cancellations, no-shows, event types and the latest date. Guest emails are split out and the host is never included. Limit: Canceled meetings are only split out when the export includes them and a Canceled or Status column.
To get an email list from Calendly, go to Meetings, set the date range, choose Export and upload the CSV here. Bookings become one row per invitee with booking, cancellation and no-show counts, guests added from Guest Email(s), and the host left out. People who canceled every booking are set aside.
Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I turn a Calendly export into an email list?
- In Calendly, open Meetings, pick the date range (include canceled meetings if you want them split out) and choose Export. In Cal.com use the bookings or Insights download; in Acuity, Reports > Import/Export.
- Upload the CSV or Excel file here, or paste it.
- Choose: set aside people who canceled every booking, include guests, and set aside people who were no-shows every time.
- Download the invitee list and the set-aside file with the reason per person.
Example
- You enter
- A Calendly meetings export with 5 bookings: one invitee who booked twice, one canceled booking, one no-show and one demo with two guests in
Guest Email(s). - You get
- 5 people in the list (3 invitees and 2 guests), Ana with 2 bookings and both event types; the invitee who canceled set aside as
Canceled their booking. The host'sUser Emailis not read. - Limits
- Runs in your browser with no row cap; an uploaded file can be up to 25 MB.
How do I export invitee emails from Calendly?
In Calendly, go to Meetings, set the date range and filters, and click Export. The file has one row per booking with Invitee Email, Event Type Name, Start Date & Time, Canceled and Guest Email(s). Exports are available on paid plans; on the free plan, copy invitee details from each booking.
The tool folds bookings into one row per person, so a client who booked four calls is one row with bookings 4 and every event type listed. Host or user email columns are never read as invitees.
Are guests added to a Calendly booking included?
Yes, when the option is on. Calendly puts every guest in one Guest Email(s) cell separated by commas; the tool splits it and adds each address with the role guest, counted with the booking they joined. Guests were invited by someone else, so their address is more often mistyped or a shared inbox.
Can I send a newsletter to people who booked a call?
A booking covers email about that meeting: confirmation, follow-up, the notes you promised. A newsletter or offers need their agreement, which you can ask for in the follow-up. The FTC's CAN-SPAM guide covers the US and the ICO's guidance the UK.
Is this faster than cleaning the Calendly export in Excel?
| This tool | Excel or Sheets | |
|---|---|---|
| One row per invitee | Bookings counted | Remove duplicates loses the counts |
| Guest Email(s) cell | Split, each a row | Text to Columns, then stack |
| Canceled and no-shows | Own file with a reason | Filter, copy out |
| Host rows | Never read | Delete by hand |
Who uses this tool, and for what?

What can’t this tool tell you?
- Canceled meetings are only split out when the export includes them and a Canceled or Status column.
- Guest addresses were typed by the invitee and are more often wrong.
- It can't tell which addresses still have a working inbox.
- A booking isn't consent to marketing email.
Common questions
- Can you export a list of Calendly invitees?
- Yes, on paid plans: Meetings > Export gives a CSV with one row per booking. Upload it here to get one row per person.
- Does it work with Cal.com and Acuity?
- Yes. Any bookings export with an attendee or client email column works; cancellation and no-show columns are read when they're there.
- What happens to canceled meetings?
- They're counted per person. Someone who canceled every booking is set aside by default; someone who canceled one and rebooked stays in the list.
- Can I email only no-shows?
- Tick the no-show option: people marked as no-show on every booking go to the set-aside file, which you can download as the no-show list.
- Is my booking data uploaded?
- No. It is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.
Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.
- Upload the cleaned file as it is: CSVs up to 100,000 rows
- A real SMTP mailbox check on every row, with catch-all detection
