Luma guests to email list: approved, waitlist and declined sorted, check-ins counted

In short: Reads a Luma guest list CSV (approval_status, checked_in_at, ticket_name), a Meetup attendee download or a RingCentral Events / Hopin registration export. Guests are sorted into going, pending, waitlist, invited or declined, check-ins are counted, and several events pasted together fold into one row per person. Limit: Check-ins are only counted when the export has a check-in column.

To get an email list from Luma, open the event, go to Guests and download the CSV, then upload it here. Each guest gets a status from approval_status (approved, pending, waitlist, invited, declined) and a check-in count from checked_in_at. Declined guests are set aside, and the same person across several events becomes one row.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I turn a Luma guest list into an email list?

  1. In Luma, open the event, go to the Guests tab and download the guest list as CSV. For Meetup, download the attendee list from the event (email is included only when the group asked for it); for RingCentral Events, export registrations from the event.
  2. Upload the CSV or Excel file here, or paste it. Paste several events one under another to merge them.
  3. Choose: set aside declined guests, keep pending and waitlisted guests, keep only guests who checked in.
  4. Download the guest list and the set-aside file with the reason per guest.

Example

You enter
A Luma guest CSV with 6 registrations: 3 approved (2 with checked_in_at filled), 1 waitlist, 1 pending_approval and 1 declined.
You get
5 guests in the list with status and check-ins, the waitlisted and pending guests marked; the declined guest set aside as Declined or rejected. 2 guests checked in.
Limits
Runs in your browser with no row cap; an uploaded file can be up to 25 MB.

How do I download a guest list from Luma?

Event hosts can download the guest list from the event's Guests tab. The CSV has one row per registration with name, email, created_at, approval_status, checked_in_at, the ticket and a column for each registration question.

The tool reads approval_status for the status and checked_in_at for attendance, so after the event you can send the recap only to people who came, and a "sorry we missed you" to approved guests who didn't.

What happens to waitlisted and pending guests?

They're kept by default, with their status in the status column, because a waitlist is often the warmest list for the next event. Untick the option to move pending, waitlisted and invited-but-not-registered guests to the set-aside file.

Can I email guests about my next event?

A registration covers emails about that event. For future events or a newsletter, it depends on what your registration form asked and where your guests are. The FTC's CAN-SPAM guide covers the US and the ICO's guidance the UK.

What can’t this tool tell you?

  • Check-ins are only counted when the export has a check-in column.
  • Meetup downloads usually have no email column.
  • It can't tell which addresses still have a working inbox.
  • A registration isn't consent to marketing email.

Common questions

Can I export guest emails from Luma?
Yes, as the event host: the Guests tab has a CSV download. Upload it here to get one row per guest with status and check-in.
Does Meetup give attendee email addresses?
Only when the group asked members for it as an RSVP question, or on Meetup Pro with that set up. A Meetup download without an email column can't become an email list.
Can I get only the people who showed up?
Tick "Keep only guests who checked in". Guests with no check-in go to the set-aside file, which is your no-show list.
Can I merge guests from several events?
Yes. Paste the CSVs one under another (repeated header rows are skipped) and each person becomes one row with registrations and check-ins counted.
Is my guest list uploaded?
No. It is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
