Circle members to email list: marketing preference read, opt-outs set aside

In short: Reads the member CSV Circle emails to admins, sorts members by their email marketing preference, sets aside the unsubscribed, merges repeats and keeps name and tags. Limit: Column names come from Circle's help article, not a fixed spec; they are matched loosely by name, so check the notes above the result.

In Circle, open Audience > Audience, pick the All tab with no filters, then More > Export CSV; Circle emails the file to your admin address. Upload it here: the email marketing preference is read, unsubscribed members are set aside, repeats merge with tags kept, and you download a list ready for your email tool.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I turn a Circle member export into an email list?

  1. In Circle, click Audience in the left sidebar and open Audience (Manage audience).
  2. Pick the All tab with no filters for everyone, or a filtered tab for part of the community.
  3. Click More below the filters bar and choose Export CSV. Download the file Circle sends to your admin email.
  4. Upload it here and download the email list and the set-aside file.

Example

You enter
A Circle member CSV with 5 rows and an Email marketing column: 4 Subscribed and 1 Unsubscribed, with tags and activity scores.
You get
4 members in the list with tags such as Founding, Coaching, and 1 set aside as unsubscribed. The notes say consent was read from the Email marketing column.
Limits
Runs in your browser with no row cap; an uploaded file can be up to 25 MB.

What's in Circle's member export?

Circle's help lists first and last name, email, join date, tags, profile fields, last active date, activity counts, whether the person is a member, invitation status and their email marketing preference (subscribed or unsubscribed). The marketing preference is what decides who you can send a newsletter or launch email to from another tool.

Members who unsubscribed are set aside by default. Tick "keep only subscribed" to also set aside anyone with no preference. Tags from repeated rows are combined so you can rebuild segments.

What can’t this tool tell you?

  • Column names come from Circle's help article, not a fixed spec; they are matched loosely by name, so check the notes above the result.
  • Circle sends the export by email to the admin; this tool can't fetch it for you.
  • It can't tell which addresses still have a working inbox.

Common questions

Can I email every member of my Circle community?
Community notifications are part of membership; a marketing email from another tool needs their agreement to that kind of email. The marketing preference column is the best signal in the export.
Does it include invited people who never joined?
If they are in the file, yes. Circle's export has a Member (Yes or No) column and an invitation status; filter to members in Circle before exporting if you only want them.
Is my file uploaded?
No. It is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
