Bulk sender threshold checker: will this send cross Gmail's 5,000 a day?

In short: Counts the personal Gmail, Outlook.com and Yahoo recipients on a list, adds the mail your domain already sends, and checks each day of the send against the 5,000-a-day lines. Limit: It counts personal Gmail by the address's domain; a company on Google Workspace isn't counted, as Google says.

Gmail treats you as a bulk sender once your domain sends close to 5,000 messages or more to personal Gmail accounts in 24 hours, and the status never expires. Paste the list you're about to send, say how many days it's spread over and what else the domain sends, and see each provider's daily count against the line.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I check if a send will make me a bulk sender?

  1. Paste the list you're about to send, or upload the CSV. Only the domain of each address is read, in your browser.
  2. Enter how many emails each person gets in the send and over how many days it goes out.
  3. Add what your domain and its subdomains already send each day to Gmail and Outlook.com addresses: newsletters, receipts, other campaigns. Gmail counts them all together.
  4. Press Check the send. Each provider gets its daily count, the line, and the fewest days that keep the send under it.

Example

You enter
A list with 12,000 personal Gmail, 3,000 Outlook.com and Hotmail, 900 Yahoo and AOL and 500 company addresses, one email each, sent in one day.
You get
Personal Gmail: 12,000 a day, at or over 5,000, so the domain becomes a bulk sender; spread over 3 days it's 4,000 a day. Outlook.com: 3,000, under the line. Yahoo: 900, no published number. Company addresses aren't counted by either line.
Limits
Runs in your browser with no row cap; only each address's domain is read, and an uploaded file can be up to 25 MB.

What counts as a bulk sender for Gmail?

Google's sender guidelines FAQ defines a bulk sender as one that "sends close to 5,000 messages or more to personal Gmail accounts within a 24-hour period". Three details decide the count. Only personal accounts count: gmail.com and googlemail.com, not companies on Google Workspace. Mail from the same primary domain is added up, so 2,500 from example.com plus 2,500 from promo.example.com is 5,000. And the status "doesn't have an expiration date": one big day makes you a bulk sender for good.

Google doesn't say how close "close to 5,000" is. This checker flags anything from 4,500 a day as close, and says so. Bulk senders must meet the extra requirements: SPF and DKIM, a DMARC record, an aligned From domain, one-click unsubscribe and a spam rate under 0.3%. The bulk sender checker tests the DNS side of those for your domain.

Does Outlook.com have a bulk sender limit too?

Yes. Microsoft's requirements apply to "domains sending more than 5,000 emails per day" to its consumer addresses, hotmail.com, live.com and outlook.com, and mail that fails them goes to Junk or is rejected with 550 5.7.515 (Microsoft, April 2025). Regional variants such as hotmail.co.uk are counted here; msn.com isn't, because the post doesn't name it. The Microsoft sender requirements checker checks your records.

Yahoo publishes requirements for bulk senders, including a spam rate under 0.3%, but no volume number (Yahoo Sender Hub). Yahoo and AOL recipients are counted so you can see the share, without a line.

Why do bounces matter more once I'm a bulk sender?

Because a bulk sender's reputation is judged on every day's mail, and a list with dead addresses produces bounces on exactly the days volume is highest. Google's sender guidelines ask bulk senders to keep the spam rate under 0.3% and to avoid sudden volume spikes. Spreading the send over more days keeps each day under the line; verifying the list first keeps the bounces out of every one of those days.

Who uses this tool, and for what?

Newsletter senders
See whether a list that has grown past a few thousand Gmail subscribers now makes the domain a bulk sender.
Ecommerce teams
Add receipts and shipping mail to a holiday campaign before deciding how many days to spread it over.
Cold emailers
Check that every inbox on one primary domain, added together, stays well under the Gmail line.

What can’t this tool tell you?

  • It counts personal Gmail by the address's domain; a company on Google Workspace isn't counted, as Google says.
  • It reads one list. Mail your domain sends from other systems is only counted if you enter it.
  • Google doesn't publish how close counts as close to 5,000; the 4,500 margin is ours.
  • It doesn't check your DNS or headers; the bulk sender checker does that.

Common questions

Does mail to Google Workspace addresses count toward 5,000?
No. Google says the bulk sender guidelines don't apply to messages sent to Google Workspace accounts; the count is personal Gmail accounts only.
Is the 5,000 per sending address or per domain?
Per primary domain. Google adds up every address and subdomain under the same primary domain, so several inboxes or a marketing subdomain don't split the count.
Does bulk sender status expire?
No. Google says bulk sender status doesn't have an expiration date, so a sender who crosses the line once stays a bulk sender.
How many emails can I send to Gmail a day without being a bulk sender?
Fewer than close to 5,000 to personal Gmail accounts in 24 hours, counted across your whole primary domain. Google doesn't define close; staying under 4,500 leaves a margin.
Does spreading a campaign over several days help?
It keeps each 24-hour count lower, and the checker shows the fewest days that stay under the line. It doesn't change the requirements, which are worth meeting at any volume.

Authentication and capacity are half of deliverability.

The other half is who you send to. Every hard bounce counts against the domain and inboxes you are sending from, and nothing in DNS can tell you which addresses on your list are dead.
