Cold email sending schedule: spread a list over days and inboxes

In short: Takes your list, your sender inboxes and a daily cap per inbox (with an optional warm-up ramp), and gives every row a send date and a sender, skipping weekends and holding back extra contacts at the same company to another day. Limit: It plans new emails only; follow-ups your sending tool adds later aren't counted.

To build a cold email sending schedule, paste your list, add your sender inboxes and set how many new emails each inbox sends a day. Every row gets a send date and a sender: inboxes rotate, non-sending days are skipped, new inboxes can ramp up, and extra contacts at one company move to the next day.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

Leave it empty to use numbered inboxes instead.

New emails only; leave room for follow-ups.

Across all inboxes. 0 for no cap. Gmail, Outlook and other personal mail are never capped.

Empty means today.

How do I check the scheduled list before day 1?

  1. Download the schedule CSV here, with a send date and sender on every row.
  2. Upload it at /verify. Every address gets a live mailbox check, and valid, risky and invalid download as separate files. The first 100 email checks are free with a Google sign-in, no card.
  3. Drop the invalid rows from the schedule before the first day goes out, so no inbox starts with bounces.

How do I plan a cold email sending schedule?

  1. List your sender inboxes, one per line, or just enter how many you have.
  2. Set emails per inbox per day, the most to one company domain per day, the first sending day and which weekdays you send. Tick the ramp option for new inboxes.
  3. Paste your list or upload the CSV and press Plan the schedule.
  4. Download the schedule CSV (your columns plus send_date, send_day and sender) or the day-by-day totals, and load each day's rows into your sending tool.

Example

You enter
10 rows (one repeated address, 3 at northwind.example), 2 sender inboxes at 3 new emails a day each, at most 2 per company per day, weekdays from Monday 2 November 2026.
You get
9 rows scheduled over 2 sending days: 6 on Monday 2 November (3 per inbox) and 3 on Tuesday 3 November. The third Northwind contact moves to Tuesday because of the company cap, and the repeated address is skipped.
Limits
Plans up to 366 sending days and 500 inboxes; runs in your browser, and an uploaded file can be up to 25 MB.

How many cold emails should I send per day per inbox?

Far fewer than the limit. Cold email tools advise low volumes per inbox (Instantly suggests 30 to 50 a day) and adding inboxes rather than volume; our guide to cold emails per day per inbox explains where those numbers come from, and your own bounce and complaint rates should set the real figure. The hard ceiling is far higher: Google Workspace allows 2,000 messages a day per user (Gmail sending limits in Google Workspace), but cold mail that gets near it is filtered long before.

Follow-ups count too. If a sequence has three steps, the new-email cap you set here is only part of each inbox's daily sending; leave room for the follow-ups your tool will add on later days.

How do I split a list across several sending inboxes?

Rotate them. The planner deals each day's rows to the inboxes in turn, so with three inboxes and a cap of 30 each, day 1 sends 90 rows: 30 from each. The sender column in the download tells your sending tool, or your team, which inbox each row belongs to. Our inbox rotation guide covers how the main tools do this themselves.

If your sending tool already rotates inboxes, use the send_date column alone and upload one day's rows at a time, or use it to see how long a list will take with the inboxes you have.

Why cap how many emails go to one company per day?

Five emails landing at one company's mail gateway in the same hour look like a campaign, because they are one. Company gateways and filters compare messages across the whole domain, and a spread is gentler on both your reputation and the people there, who often forward cold emails to each other. A cap of 1 or 2 per company per day moves the rest to later days, in file order.

Gmail, Outlook.com, Yahoo and other personal mail domains are never capped: thousands of unrelated people share them.

How do I ramp up a new inbox?

Tick the ramp option and set day 1 and the daily increase: 5 a day plus 3 per sending day reaches 30 on the tenth sending day, and stays at the cap from then on. For a week-by-week plan before you have a list, use the email warm-up calculator.

A ramp spreads risk, it doesn't remove it. A new inbox that bounces on its first days loses its reputation fastest, which is why the list should be checked before day 1.

Who uses this tool, and for what?

Cold emailers
Turn a 5,000-row lead list into dated batches across ten inboxes, weekdays only, with no more than two people per company on any day.
Agencies
Show a client how many sending days their list needs with the inboxes they've paid for, before the campaign is promised.
Founders
Ramp one or two new inboxes from 5 a day while working through a first list by hand.
Recruiters
Spread outreach to candidates at the same employer over several days so it doesn't arrive as a wave.

What can’t this tool tell you?

  • It plans new emails only; follow-ups your sending tool adds later aren't counted.
  • The daily caps are yours to choose; no limit you set here makes a list safe to send.
  • Company caps group by the domain after the @, so a company with several domains is counted separately per domain.
  • It doesn't know your existing sending on those inboxes; subtract it from the cap.
  • Plans up to 366 sending days; longer lists need more volume or inboxes.

Common questions

How do I schedule a cold email campaign over several days?
Paste the list here, set a daily cap per inbox and the sending days, and download the CSV with a send date on every row. Upload one day's rows at a time, or use the dates to set your sending tool's schedule.
How long will it take to send my list?
The last day shown after you plan it. Roughly, rows divided by inboxes times the daily cap, plus weekends; the company cap and a ramp make it longer.
Can I send only on weekdays?
Yes. Monday to Friday are ticked by default; untick or tick any day.
Does it remove duplicate addresses?
Yes. A repeated address is scheduled once and counted as skipped, as are rows without an address.
Does the planner send the emails?
No. It only plans. Nothing leaves your browser; you load the dates into your own sending tool.
How do I check the list before I send it?
Upload the schedule CSV at /verify. Each address gets a live mailbox check without an email being sent, and the first 100 checks are free with a Google sign-in, no card.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
