The email
Hi {{first_name}},
Looks like we missed each other at {{time}} today. No problem, it happens.
If you'd still like to talk about {{topic}}, here are two times that work for me:
- {{option_1}}
- {{option_2}}
Or pick any slot here: {{booking_link}}
If things have changed and it's no longer a priority, just let me know and I'll take it off both our calendars.
{{your_name}}Highlighted {{placeholders}} are the parts to replace. If you cannot fill one with something true and specific, cut the sentence rather than leaving it generic.
When to use it
Send it within an hour or two of the missed meeting, not the next day. Wait ten minutes into the slot first, and check your spam folder and calendar for a message from them before assuming they forgot.
If the same person misses twice, do not send this again. Use a breakup email instead.
Why it works
- It assumes good faith. Most no-shows are double-bookings, not rejections, and a guilt-free tone gets more of them back.
- Two specific times beat an open question. Choosing is easier than proposing.
- The cancel option is real. A clean no saves both of you from rescheduling a meeting nobody wants.
Before you send
If the meeting was booked through a form, the address might have a typo, which would also explain why your reminder never arrived. Run it through the free email checker before you send.
