Company name cleaner: drop Inc., LLC and ALL CAPS before a mail merge
In short: Removes legal suffixes (Inc., LLC, Ltd, GmbH, Pty Ltd, S.A. and dozens more), taglines after a | or dash, bracketed notes and trademark signs, fixes ALL CAPS while keeping short acronyms like IBM, leaves deliberate casing like eBay alone, and swaps blanks, n/a, self-employed and stealth for a fallback. Limit: It works on patterns; it can't know a company's preferred short name (IBM vs International Business Machines).
Paste your company names, or a CSV with a company column, and press Clean. Legal suffixes such as Inc., LLC, Ltd and GmbH, taglines, bracketed notes and ™ signs are removed, ALL CAPS is fixed while acronyms like IBM stay, and values that aren't a company (blank, n/a, self-employed, stealth) get a fallback like "your team".
Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing
"How is your team handling…" reads better than "How is Self-employed handling…". Leave it empty for a blank cell.

How do I check the addresses before the sequence starts?
- Download the cleaned CSV here; every original column is kept.
- Upload it at /verify. Every address gets a live mailbox check, and valid, risky and invalid download as separate files. The first 100 email checks are free with a Google sign-in, no card.
- Send to the valid file, with company_clean in the merge field.
How do I clean company names for email personalisation?
- Export your list with its company column (Apollo, Sales Navigator, HubSpot and most CRMs call it Company or Company Name).
- Paste it here or upload the CSV, and set the fallback for rows with no usable company.
- Press Clean company names and look over the rows marked worth a look.
- Download the CSV and map company_clean to your {{company}} merge field.
Example
- You enter
- 8 rows with a company column:
Northwind Traders, Inc.,CONTOSO LTD,fabrikam llc,Adatum® | Identity for modern teams,Tailspin Toys (formerly Tailwind Toys),Wingtip.io,Self-employedandLitware GmbH, with the fallback "your team". - You get
- 7 fixed: Northwind Traders, Contoso, Fabrikam, Adatum, Tailspin Toys, Wingtip and Litware;
Self-employedgets "your team". Each row gets company_clean, company_status and company_note. - Limits
- Runs in your browser with no row cap; an uploaded file can be up to 25 MB.
Why clean company names before a cold email?
Because the merge field prints exactly what the export holds. "I saw NORTHWIND TRADERS, INC. is hiring" reads like a mail merge, because it is one, and a reader who notices stops trusting the rest of the email. People say "Northwind", not "Northwind Traders, Inc.", so the cleaned value is closer to how a person would write it.
Lead databases and CRMs fill the company column from registries, LinkedIn profiles and form fills, so the same file mixes legal names, ALL CAPS, taglines ("Adatum | Identity for modern teams") and placeholders like Self-employed or Stealth. A spreadsheet formula can strip one suffix at a time; this handles the set in one pass.
What gets removed, and what stays?
Removed: legal forms at the end of the name (Inc., Incorporated, LLC, LLP, Ltd, Limited, PLC, Corp., GmbH, AG, S.A., SAS, S.r.l., B.V., Pty Ltd, Pte Ltd, AB, Oy, K.K. and others), text after a | , - or : separator, a bracketed note at the end, ™ ® © signs and emoji. Optional: a .com or .io ending (Wingtip.io), a final "Company" or "Co.", and a leading "The".
Kept: mixed-case names exactly as written (eBay, HubSpot, iRobot), short all-caps words that are usually acronyms (IBM, BMW Group), and ampersands. A single ALL CAPS word of four letters is kept and marked worth a look, since it may be an acronym (NASA) or just shouting; a single word of five letters is re-cased and marked; longer ones are re-cased (WINGTIP becomes Wingtip).
Who uses this tool, and for what?
- Cold emailers
- Turn an Apollo or Sales Navigator export's company column into names that read naturally in the first line.
- SDR teams
- Clean a CRM export before loading it into a sequencer, so {{company}} never prints a legal name or n/a.
- Agencies
- Normalise client lists from several sources into one consistent company column.
- RevOps
- Tidy account names before deduplicating them or matching them to domains.
What can’t this tool tell you?
- It works on patterns; it can't know a company's preferred short name (IBM vs International Business Machines).
- Re-casing ALL CAPS can't restore unusual brand casing; check the rows marked worth a look.
- Names in non-Latin scripts are only trimmed, not re-cased.
- It can't tell whether the email addresses on the list exist.
Common questions
- How do I remove Inc and LLC from company names in Excel?
- Nested SUBSTITUTE formulas work for one or two suffixes but miss variants like "Inc" vs "Inc." and ", LLC". Paste the column here instead and download company_clean.
- What happens to rows with no company?
- Blank cells and placeholders such as n/a, none, self-employed, freelance, stealth and confidential get the fallback you set, like "your team", or stay blank if you leave it empty.
- Will it change a name like eBay or HubSpot?
- No. Only ALL CAPS and all-lowercase names are re-cased; mixed case is kept as written.
- Is my list uploaded?
- No. It is read in your browser and nothing is sent anywhere.
A tidy list can still be full of dead addresses.
Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.
- Upload the cleaned file as it is: CSVs up to 100,000 rows
- A real SMTP mailbox check on every row, with catch-all detection
