How to Remove Inc., LLC and Ltd From Company Names Before a Cold Email

··3 min read

Strip the legal suffix, the tagline and the ALL CAPS, and keep the original column. Lead databases and CRMs export the registered name, so a {{company}} merge field prints "NORTHWIND TRADERS, INC. | Wholesale since 1982", which tells the reader it's a mail merge in the first line. Clean the column into a new company_clean field, give placeholder rows a fallback, look over the flagged rows, then map the clean column in your sequencer.

Sources, read 2 November 2026: GOV.UK's choose a company name guidance on required endings. The cleaning steps are how our company name cleaner works.

Why the column is messy

  • Registry names: GOV.UK says a private limited company's name must usually end in "Limited" or "Ltd". Most countries have an equivalent (Inc., LLC, GmbH, Pty Ltd, S.A.), and data vendors copy it.
  • Profile names: LinkedIn company pages and Sales Navigator exports often carry taglines after a | or dash.
  • Form fills: whatever people typed, in whatever case, including "n/a", "Self-employed" and "Stealth".

How to clean it

  1. Export with the company column. Apollo, Sales Navigator, HubSpot and most CRMs call it Company or Company Name.
  2. Paste or upload it into the company name cleaner. It removes legal forms at the end of the name (Inc., LLC, LLP, Ltd, PLC, Corp., GmbH, AG, S.A., B.V., Pty Ltd and others), text after a | or dash separator, bracketed notes, trademark signs and emoji.
  3. Choose the optional cuts. A .com or .io ending, a final "Company" or "Co.", and a leading "The" are off by default, because sometimes they're the brand.
  4. Set a fallback for rows with no usable company. "your team" works in most sentences; read the email with it before deciding.
  5. Review the rows marked worth a look, and scan any ALL CAPS names the cleaner re-cased: a name like WINGTIP becomes Wingtip, which is wrong if it's really an acronym.
  6. Download the CSV. Every original column is kept and company_clean is added. Map that to the merge field.

Rows a cleaner can't decide

  • Brand names that include the form, where people really do say it. Rare, but check your best accounts by hand.
  • Short names that become ambiguous once the suffix is gone.
  • Holding companies and subsidiaries. The cleaner can't tell you whether "Contoso Holdings" is the team you're emailing; only the contact's title and domain can.
  • Wrong company altogether. Job changes leave stale company names on contacts. A clean name on an old record still lands in the wrong inbox; see B2B contact data decay.

The rest of the merge

Company is one field. First names have the same problem (ALL CAPS, initials, "Dr."); the first name cleaner handles those, and the mail merge field checker finds blanks before they print as "Hi ,". Mail merge blank fields and personalization at scale cover the rest.

Where SimpleVerifier fits

The cleaner is free and runs in your browser; your file isn't uploaded. Once the columns are clean, check the addresses: upload the CSV on the verify page, and valid, risky and invalid come back as separate files. The first 100 checks are free with a Google sign-in. Pro is $39 a month with the first 100,000 checks a month at full speed, then slower, never cut off. See pricing.

Common questions

Should I remove Inc. and LLC from company names in cold emails?

Usually, yes. People refer to companies without the legal form, so 'I saw Northwind is hiring' reads like a person wrote it and 'Northwind Traders, Inc. is hiring' reads like a merge field. Keep the original column for your CRM.

How do I remove LLC from a column in Excel or Google Sheets?

A SUBSTITUTE or REGEXREPLACE formula handles one suffix at a time, but real exports have dozens (Inc., Ltd, GmbH, Pty Ltd, S.A.) plus taglines and ALL CAPS. A cleaner that handles the set in one pass and flags the odd rows is faster.

What should the fallback be when the company is blank?

A phrase that still reads naturally in your sentence, such as 'your team'. Check the sentence with the fallback in it, or move those rows to a version of the email that doesn't mention the company.

Will a cleaner get every company name right?

No. Some suffixes are part of how a brand is known, some ALL CAPS names are acronyms, and some taglines look like names. Look over the flagged rows before sending.
