QuickBooks customers to email list: every address split out, shared inboxes merged
In short: Reads a QuickBooks Online or Desktop customer export (title rows and TOTAL lines skipped), Xero contacts (EmailAddress and Person1Email…Person5Email), FreshBooks or Wave clients. Cells holding several addresses are split, CC columns read, an address shared by several customers kept once, inactive customers set aside. Limit: Inactive customers can only be set aside when the export has a status or active column.
To get an email list from QuickBooks Online, go to Sales > Customers, click the export icon (Export to Excel) and upload the file here. Cells with several addresses are split, CC addresses added, an address shared by several customers becomes one row naming them all, and inactive customers are set aside. Xero and FreshBooks exports work too.
Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I turn a QuickBooks customer export into an email list?
- Export the customer list: QuickBooks Online (Sales > Customers > Export to Excel, or Reports > Customer Contact List > Export), QuickBooks Desktop (Customer Center > Excel > Export Customer List), Xero (Contacts > All contacts > Export) or FreshBooks/Wave clients.
- Upload the .xlsx or CSV here, or paste it. Report title rows above the header are skipped.
- Choose: include CC and extra contact-person emails, set aside inactive customers, set aside accounts-payable inboxes.
- Download the email list and the set-aside file with the reason per address.
Example
- You enter
- A QuickBooks Online Customer Contact List report with title rows, 6 customers and a TOTAL row: one Email cell with two addresses, one CC address, one address on two customers and one inactive customer.
- You get
- 5 addresses kept: both addresses from the shared cell, the CC contact, and
leo@northwind.exampleas one row naming both customers with 310.00 open balance. The inactive customer is set aside; 2 accounts-payable inboxes are flagged. - Limits
- Runs in your browser with no row cap; an uploaded file can be up to 25 MB.
How do I export customer emails from QuickBooks Online?
Go to Sales > Customers (or Customers & leads), and click the export icon above the list to download it as Excel. The Customer Contact List report (Reports, search "contact list") also exports and lets you add columns such as CC. Both work here: the report's title lines and the TOTAL row are skipped.
QuickBooks lets one Email field hold several addresses separated by commas, such as the owner and the bookkeeper. The tool splits each into its own row and tells you how many cells had more than one.
How do I get every contact person's email from Xero?
Xero's contact export has EmailAddress for the main contact and Person1Email to Person5Email for additional people. With the CC option on, every one of them is read; source_column shows where each address came from.
Can I send marketing emails to my QuickBooks customers?
They gave you their address for invoices and account messages, which covers service email about their account. For marketing, ask first or rely on the rules where you are: the FTC's CAN-SPAM guide covers the US and the ICO's guidance the UK.
Accounts-payable inboxes (ap@, invoices@, billing@) are read by whoever processes bills. Tick the option to set them aside for announcements and keep them for statements.
Is this faster than cleaning the export in Excel?
| This tool | Excel | |
|---|---|---|
| Several emails in one cell | Split, one row each | Text to Columns, then stack |
| Report title and TOTAL rows | Skipped | Delete by hand |
| Shared inboxes | One row, customers listed | Remove duplicates drops the names |
| Xero Person1–5 emails | All read | Stack five columns |
Who uses this tool, and for what?
- Small businesses
- Send a price change or holiday-hours notice to every customer, with each address on its own row.
- Bookkeepers and accountants
- See which inboxes are shared by several client companies before a mailing.
- Service companies
- Move customers from Xero or QuickBooks into a CRM or email tool without the inactive ones.
- Wholesalers
- Separate buyers from accounts-payable inboxes for a new catalogue email.
What can’t this tool tell you?
- Inactive customers can only be set aside when the export has a status or active column.
- Accounts-payable inboxes are found by common prefixes (ap@, invoices@, billing@), not every finance address.
- It can't tell which addresses still have a working inbox.
- Open balance is added as exported; mixed currencies are not converted.
Common questions
- Can I export my customer list from QuickBooks to Excel?
- Yes. In QuickBooks Online, Sales > Customers has an Export to Excel icon above the list. Upload that file here to get one row per address.
- What if a customer has two emails in one field?
- Each address separated by a comma or semicolon becomes its own row, with the customer name kept on both.
- Does it work with Xero?
- Yes. EmailAddress and Person1Email…Person5Email are read; contact names come from ContactName.
- What happens to inactive customers?
- When the export has a Status or Active column, inactive and archived customers are set aside by default. Untick the option to keep them.
- Is my customer list uploaded?
- No. It is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.
Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.
- Upload the cleaned file as it is: CSVs up to 100,000 rows
- A real SMTP mailbox check on every row, with catch-all detection
