Notion or Airtable database to email list: the email column found, multi-address cells split
In short: Reads a database CSV from Notion (Export > Markdown & CSV), Airtable (Download CSV), ClickUp or monday.com. The email column is found by its values, cells with several addresses or mailto links are split, Notion page links are stripped from names, repeats merge with tags kept, and rows with a ticked Unsubscribed or Do not email box are set aside. Limit: Notion Person properties usually export as names, not addresses.
To get an email list from Notion, open the database, choose ... > Export > Markdown & CSV and upload the CSV from the .zip; in Airtable, use the view menu's Download CSV. The tool finds the email column by its values, splits cells holding several addresses, keeps name, status and tags, merges repeats and sets aside rows with a ticked Unsubscribed or Do not email checkbox.
Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I turn a Notion or Airtable export into an email list?
- Export the table: Notion (open the database as a full page, ... > Export > Markdown & CSV, then unzip), Airtable (view menu > Download CSV), ClickUp (view > Export) or monday.com (board menu > Export to Excel).
- Upload the CSV or Excel file here, or paste it.
- Choose: set aside opted-out rows, set aside lost or archived statuses, read every column that holds addresses.
- Download the email list and the set-aside file with the reason per address.
Example
- You enter
- A Notion database CSV with 6 rows: a page link after one name, one Email cell with two addresses, a
Secondary contactcolumn, aLoststatus, a tickedUnsubscribedbox and one row with no email. - You get
- 5 addresses in the list, both addresses from the shared cell as their own rows and the page link removed from the name; the unsubscribed row set aside; the
Secondary contactcolumn listed to read with the option. - Limits
- Runs in your browser with no row cap; an uploaded file can be up to 25 MB.
How do I export a Notion database to CSV?
Open the database as a full page, click the ... menu, choose Export, pick Markdown & CSV and download. Notion gives a .zip; the CSV inside has one column per property. An Email property exports as plain addresses, and the title column often has the page link in brackets after the name, which the tool removes.
Only the rows in the current view are exported in some cases, so clear filters first if you want every row. Airtable's Download CSV works the same way: it exports the view you're in.
How does it find the email column?
Database columns have any name, so the tool looks at the values: every column where most filled cells hold an address counts. A column called Email (or with the most addresses) is the main one. Other columns with addresses, such as a second contact or an Airtable lookup from a linked table, are listed and read when you tick the option.
A cell with several addresses, like an Airtable lookup or a Notion text property with two emails, becomes one row per address with the same name, status and tags.
Can I mail everyone in my database?
It depends on how each person got into the table. Contacts from a signup form that asked for consent are different from addresses copied in by hand. The FTC's CAN-SPAM guide covers the US and the ICO's guidance the UK.
Is this faster than cleaning the CSV in Excel?
| This tool | Excel or Sheets | |
|---|---|---|
| Finding the email column | Found by its values | Look for it |
| Several addresses in a cell | Split, one row each | Text to Columns, then stack |
| Notion page links in names | Removed | Find and replace |
| Opt-out checkbox | Set aside with a reason | Filter by hand |
Who uses this tool, and for what?
- Small teams with a Notion CRM
- Pull every client and lead into a mailing tool with status and tags kept.
- Recruiters
- Turn an Airtable candidate base into an outreach list, second contacts included.
- Community leads
- Export a member database built from forms into a newsletter tool.
- Project managers
- Get stakeholder emails out of a ClickUp or monday.com board.
What can’t this tool tell you?
- Notion Person properties usually export as names, not addresses.
- Only the rows in the exported view are included.
- It can't tell which addresses still have a working inbox.
- Being in your database isn't consent to marketing email.
Common questions
- Can I upload the Notion .zip directly?
- Unzip it first and upload the CSV inside. Notion's export also has the pages as Markdown files, which aren't needed.
- Does it work with Airtable?
- Yes. Use Download CSV from the view menu. Linked-record and lookup fields with several addresses are split into rows.
- What if my email column has a different name?
- It is found by its values, so a column called Contact, Work or Client works as long as most of its cells are addresses.
- How are opt-outs handled?
- A checkbox column named Unsubscribed, Do not email, Opted out or similar is read; ticked rows go to the set-aside file by default.
- Is my database uploaded?
- No. It is read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.
Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.
- Upload the cleaned file as it is: CSVs up to 100,000 rows
- A real SMTP mailbox check on every row, with catch-all detection
