Email signature extractor: names, titles, companies and phones from email threads to CSV

In short: Reads pasted threads, .eml files or an .mbox export, cuts each message's quoted history, finds the signature block after the sign-off and pulls out the name, title, company, phone, website and LinkedIn URL, one row per address, as a CSV. Limit: Rule-based: unusual signature layouts can put a value in the wrong column or miss it.

Paste email threads with their From: lines, or add .eml files or an .mbox export. Each message's own text is read for the signature block after the sign-off, and the name, title, company, phone, website and LinkedIn URL come out as one CSV row per sender, with the fullest signature kept. No-reply and automated senders are left out.

Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

How do I check the addresses from old threads still work?

  1. Download the contacts CSV here.
  2. Upload it at /verify for a live mailbox check; signatures can be years old. The first 100 email checks are free with a Google sign-in, no card.
  3. Import the valid contacts into your CRM with their titles and phones.
Check the addresses

How do I extract contact details from email signatures?

  1. Paste one or more email threads, keeping the From: lines, or export messages as .eml (Outlook, Apple Mail, Thunderbird) or a mailbox as .mbox (Google Takeout).
  2. Press Extract signatures, or add the files.
  3. Check the title and company columns in the preview; signatures vary, and odd layouts can swap them.
  4. Download the CSV and check the addresses before importing them into a CRM or a campaign.

Example

You enter
Two pasted messages: From Ana Silva <[email protected]> signed "Best, Ana Silva / Head of Operations, Example Labs / +1 415 555 0132 / example.com", and From Leo Park <[email protected]> signed "Thanks, Leo Park / VP Sales | Northwind Inc. / M: (312) 555-0105 / linkedin.com/in/leo-park-example" above a quoted reply.
You get
2 contacts: Ana Silva, Head of Operations, Example Labs, +1 415 555 0132, example.com; Leo Park, VP Sales, Northwind Inc., (312) 555-0105, LinkedIn linkedin.com/in/leo-park-example. The quoted reply under Leo's message is ignored.
Limits
Runs in your browser; each file can be up to 25 MB.

How is the signature found?

Each message's quoted history is cut first (lines starting with >, "On ... wrote:", "Original Message"), so a reply doesn't pick up the signature of the person it quotes. Then the block after the last sign-off (Best, Thanks, Regards, Cheers, or the "-- " delimiter from RFC 3676) is read; with no sign-off, the last lines of the message are.

In that block, phone numbers, URLs, LinkedIn profile links and email addresses are found by shape; the line with a job word (Head, Director, Founder, VP, Manager...) is the title, and a line ending in Inc, LLC, Ltd or GmbH, or the part after "at" or a comma in the title line, is the company. The name and address come from the From header when there is one.

Which files can it read?

Pasted text with From: lines, .eml files (one message each) and .mbox files (many messages, split on the "From " lines described in RFC 4155). Gmail exports mailboxes as .mbox through Google Takeout. For every address in a mailbox rather than signatures, the MBOX to CSV converter is faster.

Who uses this tool, and for what?

Sales reps
Turn a year of client threads into a CRM import with titles and direct lines.
Recruiters
Pull candidate and hiring-manager details out of email exchanges into a spreadsheet.
Founders
Build a contact list of everyone you've corresponded with, phones included, before moving to a CRM.

What can’t this tool tell you?

  • Rule-based: unusual signature layouts can put a value in the wrong column or miss it.
  • Details inside an image can't be read.
  • A signature shows what was true when it was sent; titles and phones go out of date.
  • Outlook .msg and .pst files need saving as .eml or exporting to .mbox first.

Common questions

Does it read HTML signatures?
Yes. HTML-only messages are turned into text first, line breaks kept, and read the same way. Signature images (a logo with the phone number inside) can't be read.
What if one person appears in many messages?
One row per address, keeping the signature with the most details filled in.
Are no-reply senders included?
No. Addresses like noreply@, mailer-daemon@ and notifications@ are left out.
How big a file can I add?
Up to 25 MB per file. Split a larger .mbox or export fewer folders.
Is my mail uploaded?
No. Messages are read in your browser. Nothing is sent unless you choose to check the addresses afterwards.

A tidy list can still be full of dead addresses.

Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.

  • Upload the cleaned file as it is: CSVs up to 100,000 rows
  • A real SMTP mailbox check on every row, with catch-all detection
