Cold email from a SaaS founder to an operations lead

A founder writing to an operations lead at a company that probably runs a process by hand that your product automates. The ask is a yes or no on whether the problem is real, not a call.

Subject line options

  • {{process}} at {{company}}
  • Question about how {{company}} handles {{process}}

The email

Hi {{first_name}},

I'm {{your_name}}, founder of {{product}}. We build software for ops teams that still run {{process}} in spreadsheets.

I noticed {{company}} is hiring {{role}}, and the listing mentions {{process}} as part of the job. That is often a sign it has outgrown a spreadsheet.

{{product}} connects to {{tool}} and does that step automatically. {{customer}}, a team like yours, cut it from {{before}} to {{after}}.

Is {{process}} a headache for your team right now, or is it under control?

{{your_name}}

Highlighted {{placeholders}} are the parts to replace. If you cannot fill one with something true and specific, cut the sentence rather than leaving it generic.

When to use it

Use it when you have a concrete, checkable reason to believe this company has the problem: a job listing, a public changelog, a tool they list on their careers page. Without that signal the second paragraph has nothing true to say and the email turns generic.

It suits early-stage founders in particular. Coming from the person who built the product is a real reason to reply, and it is one an SDR cannot borrow.

Do not use it for a company that already uses a direct competitor. Write a switching email instead, or leave them alone.

Why it works

  • It shows its working. The reader can see exactly why they were chosen, which is the difference between outreach and spam.
  • The proof is modest and specific. One customer, one before and after. Fill it with a real customer you have permission to name, or delete the line. Never invent one.
  • The ask costs nothing. A yes or no question about their own process is easier to answer than a request for 30 minutes, and either answer tells you something.

Before you send

Ops leads change jobs often, and an address scraped six months ago may already bounce. Check the address with the free email checker, or put the whole list through the free list check to see how much of it would bounce before your new domain sends a single message.

Verify your list before you send

The best template still bounces off an address that does not exist, and a high bounce rate is the quickest way to get a sending domain throttled. The free list check shows how much of a CSV would bounce, without uploading the file.
