Cold email client report generator: weekly reports from campaign analytics CSVs
In short: Reads campaign analytics CSVs (Instantly, Smartlead, EmailBison or a sheet), one file per client or a Client column, adds up sent, bounced, replied, positive and unsubscribed, works out each rate, ranks mailboxes by bounce rate and flags anything past the thresholds you set, as a plain-text report per client. Limit: It adds up the counts you export; if the export double-counts across steps or campaigns, so does the report.
Add one campaign analytics CSV per client, or one file with a Client column. Sent, bounced, replied, positive and unsubscribed counts are added up per client, rates are worked out from the counts, mailboxes are ranked by bounce rate, and anything past your thresholds is flagged. Each client gets a plain-text report to paste into an email or doc.
Price: this tool is free. Checking a whole email list is from $9/mo, and the first 100 checks are free with Google, no card. See pricing

A client is over the bounce threshold. What now?
- Pause the campaigns on the mailboxes the report flags.
- Export the leads still to be contacted and upload them at /verify for a live mailbox check. The first 100 email checks are free with a Google sign-in, no card.
- Resume with the valid leads only, and note the cleanup in next week's report.
How do I make a weekly cold email report for each client?
- Export campaign analytics for the week from each client's workspace: per campaign, or per sending account for mailbox health. Any CSV with sent, bounced and replied counts works.
- Add the files (the file name becomes the client name) or paste one file with a Client column.
- Set the report period and the flag thresholds: bounce above 2%, reply under 1% and unsubscribe above 1% by default.
- Copy each client's report, or download all of them and the summary CSV.
Example
- You enter
- One CSV with client, campaign, mailbox, sent, bounced, replied, positive and unsubscribed: Northwind (2 campaigns, 2 mailboxes, 1,600 sent) and Contoso (1 campaign, 2 mailboxes, 1,800 sent), default thresholds.
- You get
- Northwind: bounce 1.9%, reply 2.1%, 9 positive (26.5% of replies); flag: 1 of 2 mailboxes above 2% bounce (
[email protected], 3.7%). Contoso: bounce 0.9%, reply 0.6%; flag: reply rate under 1%. A plain-text report per client and a summary CSV. - Limits
- Runs in your browser; add as many CSV files as you like, each up to 25 MB.
What goes in a weekly cold email client report?
The numbers the client pays for, worked out the same way every week: emails sent, bounce rate, reply rate and positive replies (as a share of sends and of replies), plus unsubscribes. For the agency, mailbox health: which sending accounts bounce most, because one bad mailbox can drag a domain down. Rates here are always worked out from the counts, never read from a rate column, so two tools that round differently still compare.
The reply rate benchmarks and verification reports for agency clients help with what to say about the numbers.
Which thresholds should the flags use?
You choose. The defaults are rules of thumb many cold email teams use: bounce above 2%, reply under 1%, unsubscribe above 1%. Mailbox providers publish complaint limits rather than bounce limits: Google asks senders to keep spam complaints under 0.3% (Google) and Yahoo publishes similar guidance (Yahoo). Bounces still matter, because they tell providers the list wasn't checked. The bounce rate thresholds by platform list the sequencers' own limits.
Who uses this tool, and for what?
- Cold email agencies
- Turn Monday's exports for five clients into five reports in a minute, with the same maths for each.
- Freelance SDRs
- Send a client a plain weekly summary with the mailboxes that need a rest.
- In-house teams
- Report per product line or region by using the Client column for it.
What can’t this tool tell you?
- It adds up the counts you export; if the export double-counts across steps or campaigns, so does the report.
- Positive replies need a column for them (positive, interested, opportunities or meetings); without one the line is left out.
- Default thresholds are rules of thumb, not provider limits.
- It doesn't read inbox placement or spam complaint data, which the exports don't contain.
Common questions
- Which exports does it read?
- Any CSV with a sent column plus bounced and replied counts: campaign or account analytics from Instantly, Smartlead or EmailBison, or your own sheet. Columns are found by name; rate and percentage columns are ignored.
- How does it know which client a row belongs to?
- From a Client (or Account, Workspace) column if the file has one, otherwise from the file name, so one file per client works with no edits.
- Where does mailbox health come from?
- From a mailbox, sender or email account column. Rows with one are added up per mailbox and ranked by bounce rate.
- Can I change the flags?
- Yes. Set the bounce, reply and unsubscribe thresholds before building the reports; the flags and the summary CSV use them.
- Is anything uploaded?
- No. The files are read in your browser and nothing is sent.

A tidy list can still be full of dead addresses.
Extracting, deduplicating and syntax checks all work on the text of an address. None of them can tell whether the mailbox exists. Only the server that hosts it can answer that, through an SMTP check, and that is what the paid product does.
- Upload the cleaned file as it is: CSVs up to 100,000 rows
- A real SMTP mailbox check on every row, with catch-all detection
