Larger shops route the shared inbox through a dispatcher or office manager. Say in the first line who the message is for, so it can be forwarded rather than deleted.
Stay inside CAN-SPAM
CAN-SPAM does not require permission before a cold email, and it covers business-to-business mail the same as consumer mail. Every commercial message has to meet its rules:
- Accurate From, To and reply-to details, and a subject line that matches the message.
- Say clearly that the message is an advertisement or a solicitation.
- Include a valid postal address: a street address, a registered PO box or a registered private mailbox.
- Give a working way to opt out, and keep it working for at least 30 days after you send.
- Honour opt-outs within 10 business days, across every campaign and inbox you send from.
- You stay responsible for mail an agency or freelancer sends for you.
Do not promise rebates, tax credits or utility incentives in a cold email. Programs change and differ by state and utility, and a wrong claim is a misleading message with your business's name on it.
