How do I create an email signature?
- Fill in your name, job title, company, phone, email and website. Add a logo or photo by its https URL, and LinkedIn or X links if you want them.
- Pick a layout (logo left, logo on top, or one line) and an accent colour. The preview updates as you type.
- Press Copy signature. It copies the formatted signature, not the code, so it pastes as it looks.
- Paste it into Gmail under Settings, See all settings, General, Signature, or into Outlook's Signatures settings, and save. Copy HTML gives you the source for tools that want code.
Example
- You enter
- Jane Doe, Head of Sales at Example Co, +1 415 555 0132, jane@acme.example and acme.example.
- You get

How do I add a signature in Gmail?
Open Gmail on a computer, go to Settings, See all settings, and in the General tab scroll to Signature. Choose Create new, name it, paste the copied signature into the box and press Save Changes at the bottom of the page. Google's help article create a Gmail signature covers the steps and the option to pick different signatures for new emails and replies.
Gmail limits signature length and may not keep every style. Table layouts with inline styles, which this generator uses, survive pasting far better than designs built with CSS classes.
How do I add an email signature in Outlook?
In new Outlook and Outlook on the web, go to Settings, Accounts, Signatures, add a signature, paste it in and save. In classic Outlook for Windows, open a new email and choose Signature, then Signatures, then New. Microsoft's guide on how to add and change a signature in Outlook has the steps for each version.
Classic Outlook stores signatures on the device where you create them, so you may need to add it again on another computer, and once more in Outlook on the web.
What should an email signature include?
Your name, job title and company, then one or two ways to reach you: usually a phone number and a website. Your email address is optional, since the recipient already has it, but it helps when a message is forwarded. Keep it to four or five short lines; long signatures with quotes, banners and many icons look like marketing and make a reply thread hard to read.
For cold email, plainer is better. Every image and link adds weight to a message that spam filters read, so a text signature with one link is a sensible default for outreach, and the spam words checker and email size checker help with the rest of the message.
Why is my email signature image not showing?
Usually because it's linked from somewhere the recipient's app can't load, or the app blocks remote images until the reader allows them. Host the logo at a public https URL on your own site, keep it small, and give it alt text, which this generator adds from your company name. Images pasted from your computer are often attached to each message instead, or stripped.
Outlook in particular may ignore an image's width setting and show it at its full pixel size, so resize the file itself to about the size you want it shown.
Plain-text or HTML signature for cold email?
| Plain text | HTML with logo | |
|---|---|---|
| Looks | Simple | Branded |
| Images and tracking-like links | None | Logo and several links |
| Renders the same everywhere | Yes | Mostly |
| Best for | Cold outreach, replies | Customer and partner email |
Who uses this tool, and for what?
- Sales reps
- Give every rep the same signature, with name, title and a booking link, in a minute each.
- Founders
- Look established on outreach from a new domain with a clean signature and one link to the site.
- Agencies
- Make matching signatures for a client's team and hand over the HTML for their mail admin.
- Freelancers and job seekers
- Add a professional signature with a portfolio or LinkedIn link to Gmail.
What can’t this tool tell you?
- Mail apps decide how the signature finally renders; fonts and spacing can shift a little between Gmail, Outlook and Apple Mail.
- It links images by URL; it doesn't host your logo.
- Pasting into some apps keeps only plain text; use Copy HTML where an app accepts code.
- Company-wide signatures managed centrally (Google Workspace or Microsoft 365 rules) need an admin, not a copy and paste.
Common questions
- What is the best free email signature generator?
- One that produces table-based HTML with inline styles, copies as formatted text and doesn't make you sign up or upload your logo to its server. The generator above does all three.
- How do I create an email signature in Gmail?
- Build it above, press Copy signature, then in Gmail open Settings, See all settings, General, Signature, choose Create new, paste and press Save Changes.
- How do I add an email signature in Outlook?
- In new Outlook or Outlook on the web: Settings, Accounts, Signatures. In classic Outlook: a new email, then Signature, Signatures, New. Paste and save.
- How do I create a professional email signature with a logo?
- Upload the logo to your website, paste its https URL into the logo field above, and pick the logo-left or logo-on-top layout. Keep the image small and the text to a few lines.
- What should an email signature include?
- Your name, job title, company and one or two contact details, such as phone and website. Social links are optional. Keep it short.
- Are email signatures HTML?
- Formatted ones are. Mail apps store a styled signature as HTML; a plain-text signature is just text. This tool gives you both.
- Why is my email signature image not showing?
- The image is usually hosted where the recipient can't load it, or their app blocks remote images. Host it at a public https URL and add alt text.
- Can email signatures be animated?
- A GIF can be, but classic Outlook for Windows typically shows only its first frame. A still logo is the safer choice.
