How to Export Calendly Invitee Emails to a Follow-Up List
To get an email list from Calendly, open Meetings, set the date range, choose Export and download the CSV (exports are on paid plans). The file has one row per booking, so fold it into one row per person, split the Guest Email(s) cell, leave your own host address out and set aside people who canceled every booking. Check the addresses before a follow-up sequence: invitees type their email once, and guests are typed by someone else.
The free Calendly invitees to email list tool does all of that in your browser.
Step 1: export the meetings
- In Calendly, open Meetings.
- Pick the date range. Include canceled meetings if you want them split out.
- Choose Export.
The file has one row per booking with Invitee Email, Event Type Name, Start Date & Time, Canceled and Guest Email(s). On Calendly's free plan there's no export; copy invitee details from each booking.
Other schedulers: Cal.com has a bookings or Insights download, and Acuity has Reports > Import/Export.
Step 2: one row per person
A client who booked four calls appears four times. The tool folds the bookings into one row with a bookings count, cancellations, no-shows and every event type they booked. Host or user email columns are never read as invitees, so your team doesn't land in the follow-up.
Step 3: split guests and sort by outcome
Calendly puts every guest in one Guest Email(s) cell separated by commas. The tool splits it and adds each address as a guest.
| Group | Follow-up |
|---|---|
| Attended | Notes, proposal, next step |
| No-show every time | A short "want to rebook?" email |
| Canceled every booking | Set aside, or one rebooking link |
| Guests | Only if the follow-up is about the meeting they joined |
Step 4: check the addresses
People mistype their own email in a booking form, and guests' addresses are typed by the invitee, so they're more often wrong or shared inboxes. A follow-up sequence that bounces from your sales domain hurts the next real conversation.
- Download the invitee list from the tool.
- Upload it on the verify page. Every address gets a live mailbox check, and valid, risky and invalid download as separate files.
- Load the valid file into your sequencer.

Step 5: ask before adding to a newsletter
A booking covers email about that meeting. A newsletter or offers need their agreement; ask in the follow-up. The FTC's CAN-SPAM guide covers the US and the ICO's guidance the UK.
Where SimpleVerifier fits
Turning bookings into a list is free and runs in your browser. For the mailbox check, the first 100 checks are free with a Google sign-in, no card. Starter is $9 a month for 2,500 checks; Pro is $39 a month with the first 100,000 checks a month at full speed, then slower, never cut off. See pricing.
Common questions
Can you export a list of Calendly invitees?
Yes, on paid plans: Meetings, set the date range and filters, then Export. The CSV has one row per booking with the invitee's email.
Are guests added to a Calendly booking in the export?
Yes. Calendly puts every guest in one Guest Email(s) cell separated by commas. Split it to get one row per guest.
How do I email only the people who didn't show up?
Use the no-show marks in the export: people marked no-show on every booking go into their own file, which becomes your no-show list.
Can I add people who booked a call to my newsletter?
A booking covers email about that meeting: confirmation, follow-up, the notes you promised. A newsletter or offers need their agreement, which you can ask for in the follow-up.
Does this work with Cal.com or Acuity?
Yes. Cal.com has a bookings or Insights download and Acuity has Reports > Import/Export; any export with an attendee or client email column works.
