How to Turn a Webinar Registrant Report Into a Follow-Up Email List

··4 min read

To turn a webinar into an email list, download the registration or attendance report, split attendees from no-shows, drop your own hosts and panelists, and keep marketing to people who opted in. Each platform has its own report: Teams under Manage event, Google Meet as an emailed attendance sheet, Zoom under Reports > Usage Reports, GoTo Webinar from the webinar's reports. Then merge people who registered twice and check the addresses before the replay goes out.

The free webinar registrants to email list tool reads Teams, GoTo Webinar, Livestorm, WebinarJam, Webex and Demio reports in your browser and marks attendance; Zoom reports have their own Zoom attendee report tool.

Step 1: download the report

From each platform's help (read 2 November 2026):

Platform Where the report is Notes
Microsoft Teams Calendar > the webinar > View event > Manage event > Attendance tab > Download. Registration status is under Registration, and Reports after the event Microsoft's webinar reports help says only the organizer can see reports; first join, last leave, role and duration are included
Google Meet Emailed to the organizer after the meeting as a Google Sheets attendance report Google's attendance report help lists first name, last name, email, time joined, time exited and duration; only some Workspace editions get it
Zoom Admin Center > Reports > Usage Reports > Meeting and webinar registrations > date range or webinar ID > Search > Export Zoom's help says attendee data is available after the webinar ends and reports cover the previous year
GoTo Webinar From the webinar's page in the GoTo Webinar dashboard, under its reports GoTo's reports help has attendee and registration reports

Columns aren't documented. None of these platforms publishes a fixed list of report headings, and some reports start with summary rows or are split into sections for hosts, panelists and attendees. Open the file and find the email and attendance columns before you filter. Download reports soon after the event; Zoom's help says reports cover only the previous year.

Step 2: split attendees from no-shows

The replay and the follow-up are different emails, so split the list:

  1. If there's an Attended column (yes or no), use it.
  2. If not, a join time or a duration above zero means they attended. Add up durations for people who rejoined.
  3. A registration-only report has no attendance at all; everyone is unknown until you match it with the attendance report.

People who dropped in for two minutes count as attendees on paper. If that matters for your follow-up, sort by duration.

Step 3: leave out your own team

Organizers, co-hosts and panelists appear in most reports, sometimes in their own section and sometimes with a role column. Leave them out, or your team gets the "thanks for attending" email. The webinar tool does this by section title or role by default.

Step 4: respect the opt-in answer

Registering for a webinar is agreement to hear about that webinar: the reminder, the replay and closely related follow-up. It isn't a sign-up for every future email. If your registration form asked "Can we send you our newsletter?", use that answer: yes goes to the newsletter, no stays on the webinar follow-up only. The FTC's CAN-SPAM guide covers US commercial email; UK, EU and Canadian rules expect consent before marketing to individuals. Every follow-up needs a working opt-out.

Step 5: merge and check the addresses

People register twice (once from work, once on a phone), and free webinars attract throwaway addresses used to get the link. A replay email that bounces off a pile of fake addresses hurts the domain your sales email comes from.

  1. Download the email list from the webinar tool; repeats are merged and the no-shows are marked.
  2. Flag throwaway domains with the bulk disposable email checker.
  3. Upload the list on the verify page. Every address gets a live mailbox check, and valid, risky and invalid download as separate files.
  4. Send the replay and follow-ups to the valid file.

Risky means unconfirmed: catch-all business domains and Microsoft's consumer domains (outlook.com, hotmail.com, live.com) often can't be confirmed either way. Combining several webinars into one list? The CSV merge tool joins the files first, and our post on exporting calendar guests covers meetings run from Google Calendar or Outlook invites.

Where SimpleVerifier fits

Reading and splitting reports is free and runs in your browser; nothing is uploaded. For the mailbox check, upload the list on the verify page; the first 100 checks are free with a Google sign-in. Starter is $9 a month for 2,500 checks; Pro is $39 a month with the first 100,000 checks a month at full speed, then slower, never cut off. See pricing.

Common questions

How do I download a webinar registration report in Teams?

Microsoft's help says to open the webinar from your calendar, choose View event, then Manage event. The Attendance tab has a Download option after the event; registration status is under Registration, and Reports after the event. Only the organizer can see reports.

How do I get the attendee list from Google Meet?

On eligible Google Workspace editions, the organizer gets an email after the meeting with a Google Sheets attendance report listing first name, last name, email, time joined, time exited and duration, per Google's help.

Can I add webinar registrants to my newsletter?

Not by default. Registration is agreement to hear about the webinar and closely related follow-up. If your form asked a marketing opt-in question, add only the people who said yes; check the rules where your registrants are.

How do I send the replay only to no-shows?

Split the report on its attendance column (or on join time or duration when there isn't one). People with no attendance get the replay email; attendees get the follow-up.

Check your list before you send

Real mailbox checks over SMTP, and nothing is sent to the address. Sign in with Google and your first 100 email checks are free, no card. Plans for bigger lists are on the pricing page.
