Export a Whova Attendee List for Your Post-Event Email (Basic vs Custom Export)
For a post-event follow-up, use Whova's custom report: Attendees > Analytics & Exports > Export. It has the check-in columns that separate people who came from people who registered. The basic list (Attendees > Manage Attendees > Export Attendees > Export Basic attendee list) is fine when you only need names and emails. Then mark speakers, exhibitors and sponsors, merge repeat tickets, and check the addresses. The Whova attendees to email list tool does the sorting in your browser.
Source: Whova Help Center, How do I export my Attendees List? (updated 8 December 2025) and How can organizers export a custom report? (updated 23 December 2025), read 3 November 2026 via whova.zendesk.com.
Step 1: pick the export
| Export | Path (per Whova) | Use it when |
|---|---|---|
| Basic attendee list | Attendees > Manage Attendees > Export Attendees > Export Basic attendee list | You need names and emails only |
| Custom report, option 1 | Attendees > Analytics & Exports > Export | You need check-ins, sessions, surveys; filter to all attendees, a ticket type or a category |
| Custom report, option 2 | Same, option 2 | You also need registration form answers (Whova Registration events only) |
Step 2: know what the custom export contains
Whova's help lists: attendee information (name, email, title, affiliation, location), ticket type, category, number of sessions on the agenda, surveys submitted, session feedback submitted, event checked-in status, days checked in, sessions checked in, and with option 2 the custom registration answers. Whova notes some fields can be empty if you export before or during the event, so export again after it ends for complete check-ins.
Step 3: sort the audience
- Upload the export (.xlsx or CSV) to the Whova attendees to email list tool.
- Choose whether to set aside speakers, exhibitors and sponsors (found from the ticket, category or role column), and whether to keep only people who checked in.
- Download the attendee list, one row per person with affiliation and title kept, and the set-aside file.
People with several tickets merge into one row, and a yes in an opt-out column sets that person aside.
| Group | Follow-up |
|---|---|
| Checked in | Replay, slides, survey |
| Registered, not checked in | Replay with a "sorry we missed you" |
| Speakers, exhibitors, sponsors | Separate thank-you, from the organiser team |
| Opted out | Nothing |
Step 4: clean before sending
- Subtract your existing unsubscribes with compare email lists.
- Dedupe against other event lists with remove duplicate emails.
- Verify. Conference registrations often use work addresses, which go stale when people change jobs. Event attendee list cleaning covers the rest.
Limits
Whova doesn't publish the exact column headers of its exports, so the tool finds Email, Affiliation, Ticket and Checked In by name from a list of likely headers; read the notes above the result. Without a check-in column, attendance can't be read. A registration isn't consent to marketing email beyond the event; re-permission email consent covers asking for it.
Where SimpleVerifier fits
Upload the attendee list at /verify: every address gets a live mailbox check, and valid, risky (with the reason) and invalid download as separate files with your columns kept, so the follow-up goes only to addresses that can receive it. The first 100 checks are free with a Google sign-in. Pro is $39 a month with the first 100,000 checks a month at full speed, then slower, never cut off, and one-time packs of 10,000 checks for $15 never expire. See pricing.
Common questions
How do I export my attendee list from Whova?
Per Whova's help centre: Attendees > Manage Attendees, click Export Attendees, then Export Basic attendee list. For check-in and session data, use Attendees > Analytics & Exports and click Export in the first section.
What's in Whova's custom export?
Whova lists name, email, title, affiliation and location; ticket type; category; sessions on agenda; surveys submitted; session feedback submitted; event checked-in status; days checked in; sessions checked in; and, with option 2, answers to custom registration questions.
Why are some columns empty in my Whova export?
Whova notes that some fields may be empty, especially if you export before or during the event. Survey counts, for example, stay empty until the survey has gone out.
Can I email Whova attendees after the event?
Email about the event (replay, slides, survey) is what a registration covers. For future events or a newsletter, check what your registration form asked; honour any opt-out column in the export.
