Export a Luma Guest List to a Clean Email List (Approved, Waitlist, Checked In)

··3 min read

Open the event's Manage page, go to Guests and click Download CSV. Luma sends a one-time Confirm Access code to your email, then the file downloads. Before it becomes an email list: set aside declined guests, merge repeat rows from multi-ticket registrations, split who checked in from who didn't, and check the addresses. The Luma guests to email list tool does the sorting in your browser.

Step 1: export

  1. Go to your event's Manage page and open the Guests tab.
  2. Click Download CSV in the top-right corner.
  3. Enter the Confirm Access code Luma emails you. If it doesn't arrive, Luma's help centre has a page on not receiving its emails.
  4. If you've applied a filter or search, choose Download All Guests or Download Filtered Guests.

The file follows the guest table's current sort order. Luma notes that a custom question you delete no longer appears in later exports, so download before you change the form.

Step 2: understand the columns

Column (per Luma's help) Use it for
Name, email The list itself
Approval status Going, pending, waitlist, invited or declined: who you may follow up with
Check-in status (in person) or join status (online) Attendees vs no-shows
Ticket type Segmenting VIP, speaker or general follow-ups
UTM parameters, ad click IDs Which promotion brought each guest
Custom questions One column each; usually not needed in the email tool

Payment, tax, coupon and QR code columns rarely belong in a marketing list; drop them with the CSV column editor if you clean the file by hand.

Step 3: sort and merge

  1. Upload the CSV to the Luma guests to email list tool, or paste several events one under another to combine a season.
  2. Choose whether to set aside declined guests, keep pending and waitlisted ones, or keep only guests who checked in.
  3. Download the list (one row per person, with registrations and check-ins counted) and the set-aside file with a reason for each row.

The waitlist is often the warmest audience for the next event, so it's kept by default with its status marked. No-shows are the set-aside file when you keep only checked-in guests.

Step 4: clean before uploading

  1. Subtract unsubscribes already in your email tool with compare email lists, so an import doesn't resubscribe anyone.
  2. Fix typos. Event forms collect plenty of gmial.com; run the email typo corrector.
  3. Verify. Free event registrations attract throwaway and mistyped addresses. Event attendee list cleaning covers the full checklist.

Limits

Check-ins can only be counted when the export has a check-in column, which depends on the event using Luma's check-in. Online events report join status instead. A registration isn't consent to marketing email; that depends on your form and where your guests are, and re-permission email consent covers asking. A verification result tells you an address can receive mail, not that the guest agreed to yours.

Where SimpleVerifier fits

Upload the cleaned list at /verify: every address gets a live mailbox check, and valid, risky (with the reason) and invalid download as separate files with status and check-in columns kept. The first 100 checks are free with a Google sign-in. Pro is $39 a month with the first 100,000 checks a month at full speed, then slower, never cut off, and one-time packs of 10,000 checks for $15 never expire. See pricing.

Common questions

How do I export guest emails from Luma?

As the event host, open the event's Manage page, go to the Guests tab and click Download CSV in the top right. Luma asks for a one-time Confirm Access code sent to your email, then downloads the file.

What's in the Luma guest CSV?

According to Luma's help centre: name and email, phone if provided, registration date, approval status, ticket type, check-in status (or join status for online events), QR code URL, payment amount, tax and total, coupon code, UTM parameters and ad click IDs, and a column for each custom registration question.

Why do some guests appear twice in the Luma export?

Luma lists a guest with multiple tickets once per ticket, on separate rows. Merge them into one row per email before importing.

Can I add Luma guests to my newsletter?

A registration covers email about that event. For future events or a newsletter, it depends on what your registration form asked and where your guests are; ask on the form if you want that permission.

Check your list before you send

Real mailbox checks over SMTP, and nothing is sent to the address. Sign in with Google and your first 100 email checks are free, no card. Plans for bigger lists are on the pricing page.
