How to Export Email Addresses From Outlook (Contacts or Sent Items) to a Clean List

··3 min read

To export email addresses from Outlook, export your contacts to CSV (in new Outlook or Outlook on the web: People > Manage contacts > Export contacts; in classic Outlook for Windows: File > Open & Export > Import/Export > Export to a file > Comma Separated Values). To get everyone you've written to, export Sent Items instead. Then stack the address columns into one list, skip internal Exchange paths, remove repeats and check the addresses before you send.

The free Outlook contacts to email list tool reads either kind of export in your browser and gives one address per row.

Step 1: export the contacts or a mail folder

Microsoft's help page on exporting contacts from Outlook covers each version:

Outlook version Where
New Outlook, Outlook on the web, Outlook.com People > Manage contacts > Export contacts
Classic Outlook for Windows File > Open & Export > Import/Export > Export to a file > Comma Separated Values > pick Contacts
Outlook for Mac Exports an .olm archive, not CSV; use Outlook on the web for synced contacts

Want everyone you've emailed? In classic Outlook's Export to a file wizard, pick Sent Items instead of Contacts (or Inbox for everyone who wrote to you). Outlook's autocomplete list can't be exported as CSV, so this is the closest substitute.

Step 2: stack the address columns

  • A contacts export has up to three addresses per contact, in E-mail Address, E-mail 2 Address and E-mail 3 Address.
  • A mail folder export has From: (Address), To: (Address) and CC: (Address) columns, with several addresses separated by semicolons.

The tool reads all of them and gives one address per row. Tick Keep work addresses only to drop Gmail, Outlook.com, Yahoo and other personal mailboxes.

Step 3: skip internal Exchange addresses

Colleagues on the same Microsoft 365 organisation often appear as a path like /O=EXCHANGELABS/OU=.../CN=RECIPIENTS/CN=.... That's Exchange's internal X.500 address. The real email isn't in the file, so the tool skips those rows and tells you how many.

Step 4: remove repeats and check the list

An address book keeps every address it saw, and a Sent Items export repeats the same people hundreds of times.

  1. Download the de-duplicated list from the tool.
  2. Upload it on the verify page. Every address gets a live mailbox check, and valid, risky and invalid download as separate files.
  3. Send to the valid file.

Microsoft's sender requirements for Outlook.com ask high-volume senders to keep lists clean, and if you do bounce, our guide to Outlook and Microsoft 365 bounce codes tells you which ones are the list's fault. Some Microsoft consumer addresses (outlook.com, hotmail.com, live.com) come back risky because they can't be confirmed either way; see verifying Outlook and Hotmail addresses.

Step 5: respect the rules

Sending to an address book isn't the same as sending to people who asked for your emails; CAN-SPAM, PECR and GDPR still apply. For the delivery side, see why emails go to junk in Outlook. If this list feeds a sales campaign, the verify a list before cold email page covers the order of steps.

Where SimpleVerifier fits

Turning an Outlook export into a list is free and runs in your browser. For the mailbox check, the first 100 checks are free with a Google sign-in, no card. Starter is $9 a month for 2,500 checks; Pro is $39 a month with the first 100,000 checks a month at full speed, then slower, never cut off. See pricing.

Common questions

How do I extract email addresses from Outlook?

Export your contacts or a mail folder such as Sent Items to CSV, then combine the address columns into one list and remove repeats.

How do I export the Outlook autocomplete list?

The autocomplete list isn't exported as a CSV. Exporting Sent Items to CSV gets most of the same addresses from the To and CC columns.

Why do some addresses look like /O=EXCHANGELABS?

That's an internal Exchange (X.500) address for someone in the same organisation. The SMTP address can't be recovered from the file, so leave those rows out.

Can I export contacts from Outlook for Mac to CSV?

Outlook for Mac exports an .olm archive, not a CSV. If the contacts sync to Outlook.com or Microsoft 365, export them as CSV from Outlook on the web.

Should I check an Outlook contact list before emailing it?

Yes, if it's old or you're sending to many people at once. Address books keep addresses of people who left their jobs, and bounces count against your own mailbox.

Check your list before you send

Real mailbox checks over SMTP, and nothing is sent to the address. Sign in with Google and your first 100 email checks are free, no card. Plans for bigger lists are on the pricing page.
