Build a Suppression List From Reply.io, Woodpecker or Saleshandy

··4 min read

Export the prospects from each sequence, split out everyone who bounced, opted out, was blacklisted, replied or said no, add the tool's account-wide blacklist, and load the merged file into the blacklist of every tool you send from. Prospects who finished a sequence without answering are the reusable part. Check them live before the next campaign.

Reply.io, Woodpecker and Saleshandy all keep opt-outs in two places: on the prospect record, and on an account-wide blacklist. A prospect export only carries the first. If you switch tools or start a new workspace, the second gets left behind unless you take it with you. Our cold email suppression list post covers why that matters legally. Our list prep for Reply.io, Woodpecker and Saleshandy post covers the import side.

Which statuses go where

Status Tool List
Bounced All three Suppression
Opted out / Unsubscribed / OPT-OUT All three Suppression
BLACKLIST, INVALID Woodpecker Suppression
Invalid verification status Saleshandy Suppression
Replied, Interested, Meeting booked All three Suppression (handle by hand)
Not interested / NOT_INTERESTED All three Suppression
AUTOREPLIED Woodpecker Reusable; an auto-reply isn't an answer
Finished / Active with no reply All three Reusable, check live first

Reply.io

  1. Open People, or a sequence's People tab, tick the contacts and choose Export to CSV from the More menu (Reply.io People tab).
  2. Upload the CSV to the Reply.io contacts to email list tool. Bounced and opted-out contacts always go to the suppression file. Replied and not-interested contacts go there too by default.
  3. Reply.io's help on blacklisting contacts and domains says the domain blacklist takes domains, not email addresses. Domains can be typed or uploaded as a CSV in general settings. To block single addresses that aren't contacts yet, import them as a list first, then blacklist those contacts.

Reply.io's help doesn't describe exporting the blacklist. If you can't find an export in your account, keep your own copy of everything you add from now on. Reply.io's own migration checklist makes the same point from the other side: a do-not-contact field in your old tool doesn't turn into a Reply.io blacklist entry by itself.

Woodpecker

  1. Open the campaign's Prospects tab (interest level only exports from the campaign view), filter by status, select and export to CSV (Woodpecker export guide, exporting interest level).
  2. Upload it to the Woodpecker prospects to email list tool. BOUNCED, INVALID, OPT-OUT and BLACKLIST always go to suppression.
  3. Export the account blacklist too: Woodpecker's blacklisting guide puts it under Settings > Company Settings > Safety, where you select domains or emails and click Export to CSV. Agencies have the same tab in the Agency panel.

To blacklist a list of single emails in Woodpecker, re-import them as prospects with an email column and a status column set to BLACKLISTED in capitals, with the option to update existing prospects ticked. Whole domains are added in the Safety tab. Woodpecker's help notes that prospects at a blacklisted domain are only marked BLACKLISTED when the next send to them is attempted.

Saleshandy

  1. Open the sequence, go to Prospects and click Export. The CSV arrives by email (Saleshandy export guide).
  2. Upload it to the Saleshandy prospects to email list tool. Bounced, unsubscribed and invalid prospects always go to suppression.
  3. Saleshandy's Do Not Contact guide says lists hold emails or whole domains, filled by typing, pasting or CSV import. Invalid entries are highlighted before saving, and duplicates are skipped. All lists together can hold up to 30,000 unique entries. Each list can also be exported to CSV, sent by email. Export it and add it to your master file.

Merge, then load everywhere

  1. Combine the suppression files from every tool and every blacklist export. The suppression list merger dedupes them into one file.
  2. Import it into each tool's blacklist: domains in Reply.io's domain field, emails and domains in Saleshandy's Do Not Contact list, emails via a BLACKLISTED re-import in Woodpecker.
  3. Keep the master copy outside all of them, so the next migration starts from it.

Watch Saleshandy's 30,000-entry cap if your list is big. Domain entries cover many people with one row, so use them where a whole company asked you to stop.

Check the reusable prospects

  1. Remove the suppression list from the reusable file. The compare email lists tool does this if you're doing it by hand.
  2. Upload what's left at /verify. Valid, risky and invalid download as separate files, and catch-all domains are marked.
  3. Import only the valid file. Our re-verify leads older than 30 days post explains why the old result doesn't carry over.

What each export misses

  • Column names aren't published by any of the three. The tools find columns by name; check the notes above the result.
  • Account-wide blacklists aren't in prospect exports. Export them separately where the tool allows it.
  • Replies and opt-outs in other places, such as your inbox, CRM or newsletter platform, need merging in by hand.

Where SimpleVerifier fits

The three export tools are free and run in your browser. Nothing is uploaded until you choose to check the addresses. The live check is the paid part: the first 100 checks are free with a Google sign-in on the verify page. Pro is $39 a month with the first 100,000 checks a month at full speed, then slower, never cut off, and one-time packs of 10,000 checks for $15 never expire. See pricing.

Common questions

How do I export prospects from Woodpecker with their interest level?

Export from the campaign's Prospects tab. Woodpecker's help says the interest level only exports from the campaign view, not from the main Prospects list.

Can I upload a list of domains to Reply.io's blacklist?

Yes. Reply.io's general settings let you enter blacklisted domains by hand or upload them from a CSV. Its help asks for domains there, not email addresses; to block specific addresses that aren't contacts yet, import them as a list first and blacklist those contacts.

Where is the Do Not Contact list in Saleshandy?

Saleshandy's help describes Do Not Contact lists that hold emails or whole domains, filled by typing, pasting or a CSV import, with duplicates skipped. All lists together can hold up to 30,000 unique entries, and a list can be exported to CSV, which arrives by email.

Should I reuse prospects who finished a sequence without replying?

Often, with a new angle and a gap of a few months, as long as the rules where they are allow it. Remove the suppression list first, then check the rest live, because work inboxes close when people change jobs.
