Email Verification for Home Service Businesses: Cleaning a Jobber or Housecall Pro Customer List

··3 min read

A home services customer list needs cleaning before every seasonal send. Emails are collected at the door or on a tech's phone, so they come in with typos, placeholders like none@none.com, and the office's own address typed in to get past a required field. Export the list from Jobber or Housecall Pro, strip the junk, merge the duplicates, and verify what's left before the tune-up promo or review request goes out.

Getting the list out

Platform Path Notes
Jobber Clients > More Actions > Export Clients > CSV Admins only, select plans. Emailed to you; larger lists arrive as several files of about 1,500 rows. Filtering by tags keeps only clients with every selected tag.
Housecall Pro Customers > Actions > Export Admins only. Emailed from notifications@housecallpro.com.

For Jobber exports split across several files, combine them before cleaning with CSV merge.

Step by step

  1. Pull the email column out cleanly. Upload the export to CRM export to email list; it finds the email column and gives one row per address.
  2. Remove placeholders. Look for none@, noemail@, na@, test@, customer@ and your own company domain. Sort the column and they cluster at the top of each domain.
  3. Remove duplicates. One household often has two records (a new property, a second job). Remove duplicate emails handles case and spacing differences.
  4. Fix obvious typos such as gmial.com or yahooo.com. The email typo corrector suggests the fix; check the suggestion against the customer record.
  5. Verify the rest on the verify page. Remove invalid results from the send, and update the email field on those customers in Jobber or Housecall Pro so the next export is cleaner.
  6. Send to risky and unknown results last, in a small batch, and watch bounces.

What verification won't settle

Property managers and commercial accounts often use company domains set up as catch-alls, which accept every address, so a single mailbox can't be confirmed. Many homeowners use outlook.com or hotmail.com, and Microsoft's consumer mailboxes don't answer single-mailbox checks reliably. Both come back risky or unknown. They're usually real customers; don't delete them, just send them after the confirmed group. Accept-all vs unknown explains how to treat each.

Fix it at the source

Ask the tech or the office to read the email back to the customer, and turn on any confirmation the booking form offers. If you take online bookings through a form on your site, a check at the form stops the typo before it reaches the job. Catching email typos at signup shows the common ones. If you also send text reminders, the phone numbers need the same treatment; see clean CRM phone numbers.

Common questions

How do I export customer emails from Jobber?

Per Jobber's help centre: open Clients, More Actions, Export Clients, choose CSV and click Export. Only admins can export, the feature is on select plans, and Jobber emails you the file. Larger lists arrive as several CSV files of up to about 1,500 rows each.

How do I export customers from Housecall Pro?

Housecall Pro's help centre says admins can go to Customers, click Actions and choose Export; the CSV arrives by email from notifications@housecallpro.com. Check spam if it doesn't arrive.

Why do so many of my customer emails bounce?

Mostly typing errors at the job site and placeholder addresses entered to get past a required field. A list mailed only once or twice a year also picks up abandoned inboxes. Clean and verify it before the send, and fix the address field at the source.

Should I delete customers whose email is invalid?

No. Keep the customer record, phone and address, and remove or fix only the email. Many of them still answer the phone or a postcard, and the next visit is a chance to get the right address.

Check your list before you send
